About the Department

The Maryland-National Capital Park and Planning Commission, Prince George's County Department of Parks Recreation, Southern Region Parks Division manages parks, maintenance operations, program support, trails, natural areas, historic properties, special events, and community services throughout southern Prince George's County. The Administrative Supervisor plays a critical role in supporting these services by ensuring smooth, accurate, and efficient administrative operations. The Southern Region Parks Division (SRPD) is seeking a highly organized and detail-oriented Administrative Supervisor to lead and manage an administrative support team that delivers essential clerical, operational, and administrative services to the division. Under general direction, the Administrative Supervisor oversees daily operations, ensures compliance with Commission policies and procedures, manages workflow, and provides leadership in key business functions, including budgeting, purchasing, human resources support, timekeeping, procurement coordination, record-keeping, and customer service. This position serves as a central administrative resource for SRPD, ensuring the timely, accurate, and effective delivery of support services that directly impact operations across parks, maintenance programs, recreation support functions, special events, and divisionwide initiatives.

Position Duties

  • Manages the administrative support operations for the Southern Region Parks Division. 
  • Communicates Commission and Departmental policies, procedures, and operational expectations to staff. 
  • Establishes unit goals, service standards, workflows, and schedules; assigns and reviews work; monitors productivity and ensures compliance with deadlines. 
  • Provides input and recommendations for the unit budget; monitors expenditure and supports fiscal planning needs.
  • Performs full-spectrum supervisory responsibilities, including recruitment, onboarding, staff development, mentoring, performance evaluations, leave approval, and corrective action as necessary. 
  • Ensures adherence to EEO policies and promotes a respectful, inclusive, customer-focused work environment.
  • Coordinates and monitors work performed by consultants, contractors, or temporary staff serving the unit.
  • Develops, implements, and updates administrative support procedures to improve efficiency and service delivery for SRPD. 
  • Research operational issues and recommend workflow improvements or opportunities for automation. 
  • Oversees supply management, inventory control, and procurement processes, ensuring accuracy and adherence to Commission guidelines. • Coordinates administrative functions related to budgeting, accounting, purchasing, contracting, HR paperwork, and personnel actions.
  • Acts on behalf of the Division Chief or Assistant Division Chief on administrative matters requiring independent judgment. 
  • Serves as the primary point of contact for the division regarding administrative processes and inquiries. 
  • Provides orientation for new staff on SRPD operations and Commission procedures. 
  • Maintains, audits, and reconciles records such as revenue logs, expenditures, purchase card activity, fixed assets, time and attendance, personnel files, motor fleet documents, and program databases. 
  • Prepares, edits, and finalizes correspondence, reports, organizational documents, spreadsheets, charts, and presentations. 
  • Extracts, analyzes, and compiles data for administrative, financial, and budget reports; creates spreadsheets and conducts basic statistical calculations (means, medians, percentiles). 
  • Coordinates meeting logistics, travel arrangements, facilities scheduling, and communication of deadlines, events, and reporting requirements.
Important Worker Characteristics Knowledge of: 
  • Administrative and clerical support systems, procedures, and office operations. 
  • Technical and administrative processes such as budgeting, accounting, purchasing, contracting, human resource support, and records management. 
  • Knowledge of specific Enterprise Resource Planning systems and procedures is typically acquired after hire.

Minimum Qualifications

1. High school diploma or a Certificate of General Educational Development (GED).
2. Four (4) years of progressively responsible experience that includes at least two years in administrative and clerical support work.
3. An equivalent combination of education and experience may be substituted, which together total 4 years.
