As we scale our Account-Based Marketing (ABM) and demand generation efforts, we need a Marketing Operations expert to ensure our technology stack (HubSpot, Salesforce, ZoomInfo/Apollo and other marketing tools) run efficiently, our data remains clean, and our campaigns track accurately.
Role Overview
We are looking for a Marketing Operations Specialist to own and optimize the lead management lifecycle, database health, and reporting infrastructure of our revenue engine.
This role will focus on ensuring clean, reliable data, seamless lead flow between systems, and accurate reporting that drives business decisions. You will be responsible for maintaining the integrity of our HubSpot and Salesforce ecosystem, improving lead processes, and delivering actionable insights to leadership.
Key Responsibilities
1. Lead Management & Lifecycle Optimization- Own the end-to-end lead lifecycle, including lead capture, routing, scoring, and conversion across HubSpot and Salesforce.
- Design and maintain lead assignment rules, lead status definitions, and lifecycle stages to ensure alignment between marketing and sales.
- Monitor and optimize lead flow processes to eliminate bottlenecks and ensure timely follow-ups.
- Implement and refine lead scoring models (Lead + Account level) to prioritize high-intent prospects.
- Ensure accurate campaign attribution and source tracking across HubSpot and Salesforce.
2. Data Maintenance & Database Health
- Ensure data accuracy, consistency, and completeness across HubSpot and Salesforce.
- Perform regular audits to identify and resolve duplicates, sync errors, field mismatches, and data gaps.
- Manage data enrichment processes using tools like ZoomInfo/Apollo and AI-based enrichment solutions.
- Maintain field mappings, picklists, and data governance standards to support scalable operations.
3. Salesforce - HubSpot Integration Management
- Own and maintain bi-directional sync between HubSpot and Salesforce.
- Troubleshoot and resolve integration issues, sync failures, and data discrepancies.
- Ensure all lead, contact, account, and campaign data is accurately mirrored and usable across systems.
- Continuously improve integration architecture to support evolving business needs.
4. Reporting & Analytics
- Build and maintain lead funnel reports, tracking conversion across lifecycle stages (MQL → SQL → Opportunity → Revenue).
- Develop executive dashboards in HubSpot and Salesforce to measure:
- Lead volume and quality
- Conversion rates
- Pipeline contribution
- Marketing ROI
- Ensure a single source of truth by aligning reporting logic across platforms.
- Provide actionable insights and recommendations to improve lead quality and campaign performance.
5. Automation & Process Efficiency
- Build and maintain workflows for lead routing, enrichment, and lifecycle updates.
- Automate repetitive operational tasks to improve data hygiene and process efficiency.
- Leverage AI tools (e.g., HubSpot Breeze, enrichment tools) for data standardization and optimization.
- Integrate additional tools using Zapier, Make, or APIs to enhance lead management and reporting workflows.
Requirements
- Experience: 3+ years in Marketing Operations with deep expertise in HubSpot and Salesforce.
- Tool Integration Skills
- AI Adaptability: familiarity with using AI tools for data enrichment, list cleaning, or process automation.
