Secondary School Office Manager
Job Summary
The secretary position provides clerical support to assigned personnel; communicating information to staff, the public and
other districts; and providing information and/or direction as may be requested. 8 hours per day; 212 days per year, (12
days before the start of school and 10 days after the end of the school year).
Qualifications:
• Education: High school diploma required; Associate's degree or higher preferred.
• Experience: Previous office or administrative experience, ideally in a school setting, is highly desirable.
• Skills:
o Exceptional verbal and written communication skills; Spanish-speaking ability preferred.
o Proven ability to work productively in a dynamic, fast-paced, high-energy environment.
o Strong organizational skills with meticulous attention to detail.
o Ability to efficiently manage multiple tasks and prioritize responsibilities.
o Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and experience with general office equipment.
o Knowledge of standard office procedures and best practices.
o Competence in building positive relationships with students, parents, and staff in a professional and friendly manner.
o Familiarity with school management software (e.g., PowerSchool, Skyward) is a plus.

o Calm and organized under pressure, with the ability to problem-solve effectively.

Key Responsibilities:
• Administrative Support:
o Serve as the primary point of contact for phone calls, emails, and correspondence, supporting principals, faculty, and staff.
o Provide clerical support, including preparing reports, forms, and school communications such as newsletters.
• Office Management:
o Organize and manage office supplies, incoming and outgoing mail, and filing systems.
o Handle physical tasks such as lifting and moving supplies (up to 50 lbs frequently).
• Scheduling & Coordination:
o Assist in scheduling meetings, conferences, and events while maintaining administrator calendars.
o Coordinate and arrange substitute teacher coverage for the high school schedule.
• Building Safety
o Maintain secure access to the building with “buzz-in” system
o Facilitate guest check-ins and check-outs and escort visitors within the building.
o Facilitate communication during safety drills and emergency events
• Student & Parent Interaction:
o Greet and assist students, parents, and visitors both in person and over the phone.
• Fiscal Management:
o Help track and manage the building budget.
o Process payments for student fees, fines, and other financial transactions.
o Collaborate with the ASB Secretary to assist with events, cash boxes and financial records.
• Record Keeping:
o Maintain accurate records for students, staff, and school activities, including attendance, grades, health documentation,
and disciplinary records.
• Event Support:
o Provide logistical and administrative support for school events such as parent-teacher conferences, graduations, and
extracurricular activities.
• Confidentiality:
o Handle all sensitive information with the utmost discretion and professionalism.
• Other Duties as Assigned:
o Adapt to evolving school needs and perform additional tasks as directed by school administrators.

Rate of Pay:
• $24.32 - $29.20/hr. DOE
