ROLE OVERVIEW
A process-driven execution role focused on managing NDAs, Engagement Agreements, and billing workflows using predefined templates. The role requires high accuracy, strong follow-ups, and consistent client coordination to support deal closure and fee collection.
KEY RESPONSIBILITY
▸ Agreement Management: Draft, review, and process NDAs and Engagement Agreements using standardized templates. Ensure all documents are legally aligned, accurately filled, and turned around within defined SLAs. Maintain version control and manage digital/physical signing workflows end to end.
▸ Documentation Control: Own the completeness and correctness of all mandate-related documents throughout their lifecycle. Implement structured filing systems and checklists to prevent errors or omissions. Flag discrepancies proactively and escalate unresolved issues to the appropriate stakeholder.
▸ Client Coordination: Serve as the primary point of contact for clients on all documentation and billing matters. Handle queries, clarifications, and document requests with professionalism and speed. Build rapport with client finance and legal teams to streamline ongoing engagements.
▸ Billing & Invoicing: Support the end-to-end billing cycle from fee calculation based on mandate terms to invoice generation and dispatch. Ensure invoices are accurate, timely, and aligned with agreed commercial terms. Coordinate with the advisory team to confirm milestone triggers before raising invoices.
▸ Payment Follow-ups: Drive structured and persistent follow-ups with clients on outstanding invoices and fee dues. Maintain an escalation matrix and execute timely reminders across email and phone. Track aging receivables and work toward reducing the Days Sales Outstanding (DSO).
▸ Pipeline & MIS Tracking: Maintain live, accurate records of all agreements, billing stages, payment statuses, and collections in CRM and MIS tools. Generate periodic reports for internal stakeholders on mandate pipeline, invoice health, and receivable aging. Identify bottlenecks in the pipeline and flag them proactively.
▸ Internal Coordination: Act as the operational bridge between the advisory, finance, and operations teams. Ensure smooth handovers at each deal stage from mandate signing to invoice closure. Participate in internal review calls and maintain clear documentation of action items and resolutions.
CANDIDATE PROFILE
Experience
0–3 years in operations, client servicing, documentation, billing, or deal coordination roles. Exposure to financial services or consulting is a plus.
Education
BBA / B. Com / MBA preferred, LLB background is an added advantage but not mandatory.
