Job Role:
The Manager – Student Welfare & Event Management is responsible for planning, implementing, and overseeing student welfare initiatives and organizing university events. The role ensures a supportive, engaging, and vibrant campus environment that promotes student well-being, participation, and holistic development.
Key Responsibilities:
1. Student Welfare & Support
- Implement student welfare programs focusing on students’ physical, emotional, and social well-being.
- Coordinate with counselling services for mental health support and awareness initiatives.
- Address student concerns and facilitate timely resolution of grievances.
- Support initiatives related to inclusivity, diversity, and student engagement.
2. Event Planning & Management
- Plan, organize, and execute university events such as cultural fests, orientation programs, and extracurricular activities.
- Coordinate event logistics, including venue arrangements, permissions, vendor management, budgeting, and scheduling.
- Ensure smooth execution of events in collaboration with internal departments and external agencies.
- Prepare post-event reports and evaluations.
3. Student Engagement
- Work closely with student clubs, committees, and councils to encourage active participation.
- Promote leadership development through student-led initiatives and activities.
- Facilitate co-curricular and extracurricular activities for holistic student development.
4. Coordination & Collaboration
- Liaise with departments such as Academics, Facilities, Finance, IT, and Security for event execution and welfare initiatives.
- Coordinate with external vendors, artists, and agencies for university events.
- Engage with parents and guardians whenever required.
5. Budgeting & Resource Management
- Assist in the preparation of budgets for welfare programs and events.
- Ensure cost-effective utilization of resources and facilities.
- Maintain records of expenditures, approvals, and event-related documentation.
6. Compliance & Safety
- Ensure all events and student activities adhere to university policies and safety guidelines.
- Obtain necessary permissions and conduct risk assessments for events.
- Support crisis management during events and student-related emergencies.
7. Communication & Promotion
- Promote events and student welfare initiatives through appropriate communication channels.
- Work closely with the Marketing and Communications teams for publicity and outreach activities.
- Maintain clear, transparent, and effective communication with students and stakeholders.
8. Monitoring & Reporting
- Track participation levels and assess the effectiveness of welfare programs and events.
- Collect student feedback and recommend improvements for future initiatives.
- Prepare periodic reports on student engagement, welfare activities, and event outcomes.
