Job Title: Manager/ Senior Manager – Office of Examination
Reports to: Registrar

Ashoka University Office of Examinations:
The Office of Examinations is committed to administering all examinations in compliance with the University’s examination policies, ensuring a fair, transparent, and standardised assessment process for all students.
Examinations will be conducted as per the scheduled timelines, adhering to established protocols with the highest standards of confidentiality, integrity, and academic rigor. The focus remains on maintaining the credibility of the examination process while upholding the university’s commitment to excellence in education.
Role and Responsibilities:
The Manager/ Senior Manager Office of Examinations is responsible for supporting the planning, coordination, and administration of University examinations. This role involves ensuring smooth execution of examination processes, maintaining confidentiality and integrity of examination data, and assisting with the development and enforcement of examination policies. The Manager/ Senior Manager will work closely with faculty, administrative staff, and Registrar to ensure effective examination management and compliance with academic regulations.
1. Examination Planning & Coordination:
● Assist in preparing and managing the examination schedules and calendar, in consultation with the Controller of Examination.
● Coordinate with departments and faculties to ensure that the examination process is aligned with academic schedules.
● Help in developing and updating examination policies in line with academic goals.
2. Planning & Requirement Assessment
● Estimate the quantity of examination stationery required for each semester.
● Coordinate with academic departments to determine the number of students, exam sessions, and special requirements
● Prepare the stationery requirement plan before the examination cycle.
3. Examination Execution & Monitoring:
● Ensure smooth conduct of all examinations and overall monitoring.
● Ensuring the security and integrity of the examination environment.
4. Confidentiality & Record Management:
● Ensure the safe storage and confidentiality of all examination materials, including question papers, answer sheets, and student records.
● Maintain accurate records of all examination-related activities and assist in audits when required.
5. Grade Appeal process
● Receive and verify grade appeal/re-evaluation applications submitted by students.
● Ensure applications are submitted within the prescribed deadline and format.
● Check whether the student meets the eligibility criteria for grade appeal according to university regulations.
● Ensure that appeals are filed only for permitted courses or assessment components.
● Forward approved appeal requests to the concerned faculty or department
● Ensure confidentiality during the rechecking process
6. Evaluation & Result Processing:
● Assist in the evaluation process of answer sheets and ensure that the assessment is carried out in accordance with university standards and timelines.
● Ensure result tabulation and mark list printing are accurate and complete.
7. Communication & Stakeholder Coordination:
● Liaise with internal departments, faculty, and external stakeholders regarding examination-related issues.
● Communicate examination schedules, guidelines, and other critical information to students and faculty.
● Assist in preparing and distributing examination notifications and results.
8. Statistical & Analytical Reporting:
● Prepare reports on examination performance, trends, and any other statistical data required by the university or external regulatory bodies.
● Assist in analyzing examination data to improve systems and identify potential areas for enhancement.
9. Compliance & Quality Assurance:
● Ensure full adherence to university policies, regulatory requirements (UGC, NAAC), and best practices for examination management. Assist in regular audits of examination systems to ensure quality, impartiality, and transparency.
● Stay updated on examination-related standards, regulations, and technology advancements.
10. Other Duties:
● Handle any other responsibilities or tasks related to examination management as assigned by the Director/Controller of Examinations.
Qualifications: Master's degree from a recognized University.
Experience
- 8-12 years of experience in higher education administration, specifically in coordinating large-scale examinations.
- Demonstrated proficiency with examination management software systems and digital assessment platforms.
- Experience managing undergraduate-level examinations for an International University or institution (preferred).
Knowledge/Skills/Abilities
- Excellent written and oral communication skills, and proven negotiation and conflict resolution skills, confidence in dealing with all levels of an organization
- Strong computer skills, including MS Office, particularly Excel, word and PowerPoint. Has a strong technical aptitude.
- Strong knowledge of university examination systems and academic regulations.
- Demonstrated ability to manage a high volume of work with conflicting priorities and deadlines, strong organization skills and attention to detail in a time and security-conscious setting.
- Demonstrated ability to exercise judgment and discretion when handling confidential information and situations.
- Understanding of privacy and accessibility legislation.
