Job Purpose
To manage and coordinate the end-to-end employee exit process, ensuring smooth separation formalities, compliance adherence, positive employee experience, timely Full & Final settlement coordination, knowledge transfer tracking, and accurate documentation.
Key Responsibilities
Employee Exit Process Management
- Manage end-to-end employee separation process including resignation, retirement, termination, and absconding cases.
- Ensure timely acceptance and processing of employee resignations in HRMS.
- Coordinate with employees, managers, payroll, IT, admin, finance, and compliance teams for smooth exit formalities.
- Monitor notice period adherence and exit timelines.
Clearance & No-Dues Management
- Initiate and track No-Dues Clearance process across departments.
- Ensure recovery of company assets such as laptops, ID cards, access cards, SIM cards, and other equipment.
- Coordinate financial recoveries if applicable.
Full & Final Settlement Coordination
- Coordinate with payroll team for accurate Full & Final (F&F) settlement processing.
- Validate leave encashment, recovery deductions, bonuses, incentives, gratuity, and statutory payouts.
- Ensure timely settlement as per company policy and applicable labour laws.
Statutory & Compliance Support
- Support compliance related to:
- Provident Fund (PF)
- ESIC
- Gratuity
- Labour laws
- Shops & Establishments compliance
- Prepare and maintain exit-related documentation for audits and inspections.
Exit Documentation
- Prepare and issue:
- Relieving letters
- Experience letters
- Service certificates
- Resignation acceptance letters
- Maintain accurate employee records and separation documentation.
Exit Interviews & Analytics
- Conduct exit interviews and capture employee feedback.
- Analyze attrition trends and prepare MIS reports.
- Share insights with HRBP and leadership teams for retention improvement initiatives.
Stakeholder Coordination
- Collaborate with:
- HR Business Partners
- Payroll
- Finance
- IT
- Administration
- Business Managers
- Ensure seamless communication throughout the separation lifecycle.
HRMS & Reporting
- Update employee exit records in HRMS.
- Generate reports related to attrition, exits, pending clearances, and settlement status.
- Maintain dashboards and trackers for management review.
Required Skills & Competencies
- Knowledge of employee lifecycle management
- Understanding of labour law compliance
- Payroll and F&F settlement knowledge
- Strong coordination and stakeholder management skills
- Attention to detail and documentation accuracy
- Good communication and interpersonal skills
- Confidentiality and data handling ethics
- Problem-solving and follow-up skills
- Proficiency in MS Excel and HRMS tools
Preferred Qualifications
- Graduate + full / part time MBA / PGDM in HR or equivalent
- 10–15 years of experience in HR Operations or Exit Management
- Experience in handling employee separations in shared services or corporate HR environment
