POSITION SUMMARY
The Manager — Order Handling Team serves as the primary interface between the Division and its clients for all assigned live projects and new business enquiries. The incumbent is responsible for end-to-end order management — from enquiry receipt and techno-commercial bid preparation through to order award, execution monitoring, and post-delivery coordination — while maintaining strong client relationships that support repeat business and long-term partnerships.
KEY RESPONSIBILITIES
1. Client Coordination & Relationship Management
• Act as the single point of contact (SPOC) for assigned clients on all ongoing fabrication projects.
• Conduct regular project review meetings (virtual and on-site) to update clients on fabrication progress, inspection schedules, and dispatch plans.
• Proactively communicate deviations, delays, or change requests and coordinate internally for resolution.
• Maintain client satisfaction through prompt query resolution and professional correspondence.
2. Order Handling & Project Coordination
• Receive, review, and register new purchase orders; verify technical specifications, drawing revisions, and commercial terms.
• Coordinate with Engineering, Production Planning & Control (PPC), Fabrication, Quality Assurance, and Dispatch teams to ensure adherence to project schedules.
• Track milestones for each order — raw material procurement, fabrication progress, inspection clearance, surface treatment, and dispatch — and report status to clients and management.
• Manage documentation flow including drawing approvals, inspection call notices, test certificates, and dispatch documents.
• Handle client inspection coordination: arrange third-party inspection (TPI) visits, pre-dispatch inspections, and expedite clearance.
3. Enquiry Management & Tendering
• Review incoming enquiries for technical feasibility, scope clarity, and alignment with Division capabilities.
• Liaise with the Estimation / Costing team and Engineering to prepare competitive techno-commercial offers for bridges, industrial structures, and power plant packages.
• Prepare and submit bids within stipulated deadlines; track bid status and follow up with clients.
• Clarify technical and commercial queries raised by clients during bid evaluation.
• Negotiate order terms in coordination with management and ensure commercial closure.
4. Contract & Commercial Management
• Review LOI / Work Orders / Contracts for technical and commercial acceptability before acknowledgement.
• Monitor milestones for payment terms and raise invoices / payment claims as per contract schedule.
• Track and follow up on outstanding receivables in coordination with the Finance team.
• Handle variation orders, extra claims, and back charges in accordance with contract provisions.
5. Reporting & Documentation
• Maintain a real-time order register covering order value, delivery schedule, status, and billing.
• Prepare weekly and monthly MIS reports for management review.
• Ensure systematic filing of all project correspondence, approvals, and documents.
