Job Title: Manager – Administration


Location: Kothamangalam, Kerala


Industry: FMCG (Preference: Spice Manufacturing)


Salary Range: ₹6 – ₹9 LPA


Role Overview

The Manager – Administration will be responsible for overseeing end-to-end administrative operations across corporate and manufacturing units. The role focuses on cost optimization, infrastructure management, employee services, vendor coordination, and driving operational excellence aligned with organizational goals.


Key Responsibilities

1. Administrative Operations & Cost Management

  • Manage and control administrative expenses across corporate office and multiple manufacturing units.
  • Review and authorize administrative purchase requests for all locations.
  • Develop and implement cost optimization strategies to achieve annual savings.
  • Maintain monthly MIS reports comparing budgeted vs actual administrative expenses.
  • Deploy and manage digital tools for expense tracking and process automation.
  • Optimize workforce utilization through efficiency-driven initiatives.

2. Facility & Infrastructure Management

  • Oversee maintenance and upgradation of office and factory infrastructure.
  • Ensure smooth functioning of facility services including housekeeping, security, and utilities.
  • Implement modern workplace standards focusing on safety, compliance, and efficiency.
  • Conduct periodic audits to ensure operational readiness across locations.

3. Transport & Logistics Management

  • Manage employee transport systems ensuring safety, reliability, and cost efficiency.
  • Coordinate with transport vendors for seamless operations.
  • Monitor and improve transport-related cost controls and service delivery.

4. Employee Services & Workplace Experience

  • Oversee canteen operations ensuring hygiene, quality, and employee satisfaction.
  • Ensure ergonomic and employee-friendly workplace environments.
  • Manage travel arrangements and logistics for employees and management.
  • Address employee concerns related to administrative services.

5. Vendor & Inventory Management

  • Lead vendor identification, negotiation, and performance management.
  • Ensure timely delivery of services and resolve vendor-related issues.
  • Conduct periodic inventory audits and ensure stock accuracy.
  • Forecast demand and manage inventory levels efficiently using digital systems.

6. Event Management & Administrative Coordination

  • Plan and execute company events, training programs, and conferences.
  • Coordinate cross-functional administrative activities across locations.

7. Team Leadership & People Management

  • Lead and supervise the administrative team across locations.
  • Conduct performance reviews and provide actionable feedback.
  • Drive a high-performance, collaborative, and accountable team culture.
  • Design and implement training programs for continuous skill enhancement.

8. Strategic & Operational Excellence

  • Align administrative functions with organizational goals in quality, service, and efficiency.
  • Participate in budgeting and resource planning exercises.
  • Lead daily, weekly, and monthly review meetings to track performance.
  • Identify and implement process improvements for operational efficiency.
  • Resolve internal issues proactively to improve stakeholder satisfaction.


Key Requirements


Education

  • Bachelor’s degree in Administration, Management, or related field (MBA preferred).

Experience

  • 6–10 years of experience in Administration/Facility Management.
  • Mandatory experience in FMCG sector.
  • Preference for candidates with exposure to Spice Manufacturing Industry.
