JOB TITLE | School Secretary / Receptionist (Middle & High School)
Madison Country Day School, a PreK-12 International Baccalaureate (IB) World School, is seeking a School Secretary who embodies professionalism, friendliness, and exceptional organizational skills. As the first point of contact for visitors, students, and staff, you will play a crucial role in our PreK-12 International Baccalaureate (IB) World School community. KEY RESPONSIBILITIES:
- Greet and assist students, parents, visitors, and staff with professionalism and friendliness while adhering to safety protocols.
- Maintain accurate High School and Middle School student attendance records; manage late arrivals or early departures; communicate with faculty, staff, and parents, as necessary.
- Answer phone calls and direct inquiries to the appropriate staff and/or faculty members.
- Coordinate and assist with auxiliary service needs. This may include food service ordering, transportation roster management, and after-school activities coordination.
- Monitor security camera footage for potential safety issues.
- Use OnCampus system for calendar updates, events, attendance, and field trip permission slips.
- Manage MCDS’s relationship with neighboring school districts on Transportation Reimbursement.
- Navigate the Frontline/AESOP system to help faculty and substitute teachers.
- Assist various school offices, including Student Services, Health, Admissions, Business, Development, and Division Heads, as needed.
- Keep the front desk and commons area clean, organized, and inviting.
- May be required to process incoming and outgoing mail / packages.
- Review and communicate ordering requirements for office supplies.
- Serve as back-up for Lower School Receptionist, which may include the school’s Daily Memo and other communications
- Maintain confidentiality of student and staff information.
- Perform other duties as needed.
QUALIFICATIONS
- Minimum of 1 year of professional experience in a similar role.
- Strong organizational skills with the ability to multitask effectively.
- Ability to handle sensitive and confidential information with discretion.
- Proficiency in Google Suite (Docs, Sheets, Gmail) and familiarity with office equipment like printers, copiers, etc., along with multi-line phone systems. Ability to learn new software platforms quickly.
- Excellent customer service skills, approaching people with a friendly, approachable demeanor and a positive attitude.
- Ability to work collaboratively in a team environment.
