Position Duties
Our department is currently seeking a friendly and hard-working Administrative Assistant to join our Operations Support team. This position is responsible for providing outstanding customer service and support to MHSADS programs and the Loudoun community.
Ideal candidates will possess exceptional customer service skills, strong written and oral communication skills, be detail-oriented, and have proficient technical skills in standard Microsoft Office 365 applications (Teams, Outlook, Word and Excel) and SharePoint.
Primary responsibilities include:
- Provides courteous and timely customer service by greeting citizens, vendors, staff and other visitors, directing incoming telephone inquiries and providing information about services and programs.
- Uses an assigned Purchasing Card (PCard) to order supplies and coordinate travel and training arrangements.
- Accurately maintains financial records and completes supporting documentation within approved timeframes.
- Monitors and troubleshoots standard office equipment (printer, copier and fax machines).
- Performs mail merge functions to coordinate mass letter communications.
- Reserves conference rooms and other off-site venues for special events, arranges catering and audio-visual set-up as necessary to support departmental activities.
- Completes special projects as assigned, independently or as part of a team.
Position Location and Schedule: Primary work location is Leesburg, Virginia and the standard work schedule is Monday through Friday, 8:30am to 5:00pm. The primary location and/or work schedule of this position may change as necessary to support the evolving operational needs of the department.
Hiring salary commensurate with experience.Minimum Qualifications
High School diploma or equivalent; two (2) years of related clerical/administrative work experience; or equivalent combination of education and experience.
Preferred Qualifications:
- Experience with standard office equipment, including desktop scanners, and proficiency with computers and Microsoft Office programs.
- Bilingual with the ability to read, write, and speak in both English and Spanish.
Other Qualifications
- This position is still expected to report to work as originally scheduled in instances of inclement weather should the County enter an Unscheduled Leave status.
- Employment is contingent upon successfully passing pre-employment background check to include fingerprinting, credit, NCIC, DMV and TB test. Must have a good driving record and a valid driver's license in Virginia or regional state of residence.
