Logistics Coordinator – Import & Dispatch Operations
Location: Goregaon East, Mumbai
Salary: up to 50k per month
Position Overview
We are looking for a Logistics Coordinator to manage and coordinate day-to-day logistics activities, including shipment planning, import documentation, factory coordination, dispatch planning, transporter coordination, SAP GRPO processing, inventory reporting, and shipment documentation.
The role will act as a key coordination point between the factory, sales team, CRM team, accounts team, transporters, and internal management to ensure shipments are planned, documented, dispatched, and closed efficiently and on time.
Key Responsibilities
1. Shipment Planning & Coordination
- Monitor cargo readiness at the factory and ensure shipment planning is carried out efficiently.
- Plan and coordinate a minimum of 3–4 shipments per week, based on cargo readiness and business requirements.
- Track shipments from factory dispatch through arrival at port and final delivery to the customer.
- Follow up with factories and relevant stakeholders to ensure shipments are dispatched as per plan.
2. Factory & Shipment Documentation
- Coordinate with factories for timely receipt of commercial and shipping documents for shipments that have sailed from China.
- Follow up on pending documentation and ensure all required documents are received and properly maintained.
- Coordinate with the CRM team for preparation and receipt of dispatch-related documentation.
- Maintain complete shipment-wise documentation records.
3. SAP & Order Processing
- Create new Purchase Orders (POs) in SAP as per requirements received from the team.
- Process GRPOs in SAP for shipments for which all required factory and shipping documents have been received.
- Ensure SAP transactions are completed accurately and within the required timelines.
4. Port & Dispatch Coordination
- Monitor shipments that are ready at the port and promptly inform the respective salesperson.
- Obtain confirmation from the salesperson on the dispatch plan before arranging transportation.
- Upon receiving confirmation, coordinate and arrange the appropriate transporter based on the customer/location and delivery requirements.
- Coordinate with transporters and internal teams to ensure smooth and timely dispatch and delivery.
5. Inventory & Management Reporting
- Prepare and share the weekly inventory report with the Managing Director every week.
- Track shipment status, inventory movement, and pending deliveries to provide accurate updates to management.
- Prepare and share the 15-day duty cycle report with the Accounts team.
6. Shipment Closure & Documentation
- Ensure shipment-wise documentation is properly filed and maintained.
- Once a shipment is delivered to the customer, complete the documentation process and hand over the relevant records to the Accounts team.
- Ensure all shipment documentation is complete for audit, accounting, and record-keeping purposes.
7. Costing & Commercial Support
- Prepare shipment costing sheets as and when required.
- Coordinate with relevant internal teams to obtain freight, transportation, duty, and other applicable shipment-related cost information.
- Maintain accurate shipment costing records.
