Job Summary
The role will directly support the CEO in managing strategic initiatives, overseeing key projects, and ensuring smooth governance, while also handling high-level administrative and operational support as a part of the role to make the CEO make more effective use of his time. The role requires excellent organizational skills, project execution ability, and discretion in managing sensitive matters, making it critical to both project delivery and the CEO’s office.
Key Responsibilities
Executive Assistance to CEO
- Manage the CEO’s complex calendar, scheduling, and prioritization of meetings and events.
- Handle sensitive communications, screen calls/emails, and draft correspondence on behalf of the CEO.
- Plan and coordinate domestic and international travel, including itineraries and logistics.
- Prepare meeting materials, presentations, and briefing notes for CEO engagements.
- Support interactions with Board members, clients, and senior stakeholders, ensuring timely follow-up.
- Maintain utmost confidentiality and discretion in all dealings.
Strategic Project Management & Administrative Support
- Assist in planning and execution of strategic projects, ensuring timelines, deliverables, and quality standards are met.
- Maintain and update project plans for projects and initiatives driven by the CEOs office.
- Track progress, risks, and issues by maintaining project governance documents (RAID logs, trackers, dashboards).
- Provide regular status updates and contribute to internal and client-facing governance forums.
- Lead or step in for project meetings when required, ensuring documentation, action follow ups, and accountability.
- Build trusted relationships with cross-functional teams and clients to ensure seamless delivery.
- Conduct research, compile data, and prepare insights to support CEO decision-making.
- Anticipate CEO’s needs, proactively resolving issues before they escalate.
- Coordinate and support ad-hoc strategic initiatives directly assigned by the CEO.
- Ensure alignment between CEO’s priorities and broader organizational goals.
Job Location & Schedule
- This job is an onsite job at Logile Bhubaneswar Office.
- It is expected that the selected candidate will be available to work flexible hours to support the CEO’s work hours with maximum overlap.
Skills & Experience
Mandatory
- Exceptional organizational skills, anticipatory thinking, discretion, and professionalism.
- Ability to work flexible hours to maximize overlap with CEO’s schedule.
- Excellent communication and interpersonal skills (written and verbal) with client-facing exposure.
- Proven ability to manage multiple priorities, deadlines, and stakeholders in a fast-paced environment.
- Advanced proficiency in Microsoft Office Suite, project management tools (Excel, PowerPoint, Monday.com, or similar), and calendar management software.
- Strong project management experience with proficiency in project planning, tracking, and governance.
Desirable
- Post Graduate/Post-Graduate degree in Business, IT, Management, or related fields.
- Experience in SaaS/software industry or Workforce Management/Labor Management solutions.
- Prior experience as an Executive Assistant to senior leadership.
Experience Required
- 15+ years of professional experience in project management and/or executive support roles.
- Exposure to senior-level stakeholder management (C-suite, Board, clients).
