We are now looking for a VA Training & L&D Manager who can build and lead world-class training programs for virtual assistants across communication, execution, productivity, AI enablement, and client management.
This is not a traditional trainer role. Weโre looking for someone who deeply understands the global virtual assistant space and can create high-impact training systems that transform candidates into elite virtual assistants.
Role Overview
You will be responsible for designing, executing, and continuously improving the end-to-end training framework for our virtual assistants.
This role combines:

You should be capable of building structured onboarding programs, assessment frameworks, AI training modules, mock client simulations, and continuous upskilling systems aligned with both company standards and client requirements.
Key Responsibilities
Training & Curriculum Development
- Build comprehensive training programs for virtual assistants from beginner to advanced levels
- Design onboarding bootcamps, certification programs, and skill-development tracks
- Create SOPs, playbooks, assignments, assessments, role-play scenarios, and evaluation systems
- Develop modern AI-focused training modules for productivity and operational efficiency
- Continuously improve training content based on cohort performance, operational gaps, and client feedback
Live Training & Facilitation
- Conduct live virtual training sessions for VA cohorts
- Coach trainees on communication, professionalism, confidence, and execution standards
- Run mock client interactions and practical simulations
- Deliver actionable and constructive feedback to trainees
- Identify underperforming trainees early and implement improvement plans
Communication & Client Readiness Training
Train VAs on:
- Business communication
- Professional email writing
- Executive communication
- Client interaction & professionalism
- Meeting etiquette
- Active listening
- Remote work discipline
- Problem-solving & ownership mindset
Tools & Productivity Training
Train candidates on:
- Google Workspace
- Microsoft Office
- Notion
- ClickUp
- Asana
- Trello
- Slack
- Zoom
- Calendly
- CRM tools
- AI tools such as ChatGPT, Claude, Gemini, Perplexity, Zapier, Make, etc.
Virtual Assistant Operations Training
Train VAs on:
- Calendar management
- Email management
- Task tracking & prioritization
- Meeting coordination
- Travel booking
- Documentation & reporting
- Research tasks
- SOP execution
- Follow-up systems
- Founder & executive support workflows
Training Strategy & Stakeholder Management
- Design and continuously improve training programs based on evolving company goals and client requirements
- Work closely with leadership, operations teams, and external stakeholders to identify skill gaps and develop relevant learning modules
- Customize training frameworks for different client accounts, industries, and workflows
- Introduce new modules around emerging AI tools, automation systems, and operational best practices
- Collaborate with client-facing teams to ensure VAs meet client expectations and service standards
- Build scalable learning systems and facilitator documentation to support company growth
Assessment, Reporting & Quality Control
- Design and run scored assessments, certifications, and readiness evaluations
- Track trainee progress, certification rates, and performance metrics
- Maintain training dashboards and reports
- Analyze cohort data and identify recurring gaps or trends
- Ensure training quality standards remain consistently high across all cohorts
Must Haves
- 3โ5+ years of experience in corporate training, L&D, operations training, or virtual assistant management
- Strong understanding of the virtual assistant / executive assistant ecosystem
- Proven experience conducting live virtual training sessions
- Experience creating structured training programs and assessments from scratch
- Excellent spoken and written English
- Strong familiarity with productivity, project management, and collaboration tools
- Strong understanding of remote work culture and client servicing
- Ability to coach, mentor, and evaluate operational talent
- Strong ownership mindset with excellent execution ability
- Comfortable working in the Eastern Shift (5:30 PM โ 2:30 AM IST)
Good to Haves
- Experience working with US/UK clients
- Background in BPO, staffing, customer success, operations, or executive assistant roles
- Prior experience as a Virtual Assistant or Executive Assistant
- Experience building AI adoption or automation workflows
- Familiarity with LMS platforms and training analytics
- Experience with SOP creation and process documentation
- Accent neutralization or communication coaching experience
