Primary Responsibilities
- Plan CA requirement, budgeting, administration, contract management and seek necessary approvals, Statutory compliance, licensing of factory, Contract Labour, FSCCI, Guard Board.
- Update & initiate renewal of AMC’s, Contract Agreements, CAPEX, Repairs & Maintenance.
- Preparing admin budget, monitoring, managing and reviewing Budgets to ensure Adherence
- Lesioning with Local & Regulatory authority for smooth functioning of operations / business
- Effective functioning of Employee Transport, on call transport arrangement, company vehicles
- Control and monitoring of security function, adherence to guard board guideline, CCTV monitoring, addition of cameras, recording & reporting incidents to Head HR on regular basis
- Ensuring & monitoring proper housekeeping of plant, open premises, structure, Washrooms.
- Responsible for garden maintenance and development in consultation with top management & consultants.
- Looking after communication i.e. voice call, data card, lease line. Tracking of plans & upgradation/optimisation as and when needed
- Ensuring timely payment of Govt dues like Property Tax, Grampanchyat Tax & any other levies
- Timely maintenance of furniture, office equipment, building structure, telephone, EPABX, company vehicles etc.
- Contract labour management – Attendance, replacement, maintaining break data, bill verification, statutory compliance, timely payment to vendors and ensuring it has been disbursed to their employees deployed at ACG.
- Renewal of factory license, contract labour registration, FSCCI, Security guard board exemption, NOC’s from local authorities for various work
- Changes/modification in present building structure wrt washrooms, trenches, restrooms, canteen, offices & its maintenance
- Processing, verification of bills for various vendors & contractors
- Raising PR, PO, bill booking, admin vendor creation
- Arranging office stationery for all the functions.
- Looking after PA System
- Support in various employee engagement activities, communication, distribution of various welfare gifts etc.
- Support in 6S activities, visual management, displaying boards
- Publishing various communication to associates regarding admin activities
- Providing related data for various internal & external audit’s to ensure zero NC’s
- Support business to meet business objectives and Strategic goals
- Administration and smooth functioning of Guesthouse facility
- Submission of HR & Admin budget data to ACGE COE
- GMI tracker monthly submission
- Submitting MIS on CA cost, Welfare Cost
- Submit proposal for budgeted CAPEX & major Repairs & Maintenance to seek approvals
- Carryout period meeting of canteen, transport, admin function and work up on gaps & suggestions
- Conduct periodic survey on admin work
- Raising PR, PO, WO, PO, Payment advises, work item in SAP for various admin activities
