The Assistant Manager – Material Inward will be responsible for managing the end-to-end inward process of jewellery, including gold, diamond, gemstone, packaging materials, and store consumables. The role requires maintaining inventory accuracy, ensuring quality and statutory compliance, coordinating with vendors and internal teams, and safeguarding high-value assets throughout the receiving process.
Key Responsibilities
Material Inward Operations
- Manage the receipt of jewellery, loose diamonds, gemstones, precious metals, packaging materials, and store consumables from vendors and manufacturing units.
- Verify consignments against Purchase Orders (POs), invoices, delivery challans, and transfer documents.
- Ensure accurate weighing, counting, and verification of all incoming materials using calibrated weighing equipment.
- Prepare and process Goods Receipt Notes (GRNs) within the defined timelines.
Inventory Control
- Ensure accurate inward entries in the ERP system.
- Maintain complete inventory accuracy for all high-value products.
- Coordinate with warehouse and inventory teams for proper storage and secure handling.
- Ensure product tagging, barcoding/RFID, and traceability before storage.
- Follow FIFO/FEFO principles wherever applicable.
Quality & Compliance
- Coordinate with the Quality Assurance (QA) and Merchandising teams for inspection and acceptance of inward materials.
- Verify BIS Hallmark certificates, diamond grading certificates, and other statutory documentation.
- Ensure compliance with company SOPs, audit requirements, and internal control procedures.
- Maintain complete documentation for all inward transactions.
Security & Asset Protection
- Ensure secure handling of high-value inventory throughout the inward process.
- Maintain strict adherence to vault access protocols and inventory control procedures.
- Report discrepancies, shortages, damages, or security concerns immediately.
- Participate in inventory audits, stock verification, and reconciliation activities.
Vendor & Internal Coordination
- Coordinate with Procurement, Merchandising, Finance, Logistics, Vendor, and Retail teams.
- Resolve quantity, quality, and documentation discrepancies with vendors.
- Track pending inward shipments and ensure timely closure.
Team Management
- Supervise executives and warehouse associates handling inward operations.
- Allocate daily responsibilities and monitor productivity.
- Conduct regular process and compliance training for the team.
- Promote a culture of accuracy, accountability, and operational excellence.
Reporting & MIS
- Prepare daily, weekly, and monthly inward reports.
- Monitor inward turnaround time, pending GRNs, discrepancies, and inventory accuracy.
- Present operational MIS and improvement recommendations to management.
Process Improvement
- Identify opportunities to improve inward processes and reduce turnaround time.
- Support automation initiatives, barcode/RFID implementation, and ERP enhancements.
- Drive continuous improvement in warehouse and inventory operations.
Qualifications
- Bachelor’s degree in supply chain management, Logistics, Commerce, Business Administration, or a related field.
- Certification in Warehouse Management, Inventory Management, or Supply Chain is an added advantage.
Experience
- 5–8 years of experience in warehouse operations, inventory management, or material inward.
- Experience in luxury jewellery, diamonds, watches, premium retail, manufacturing, or other high-value inventory environments is highly preferred.
- Hands-on experience with ERP systems, inventory controls, and warehouse operations.
