JOB SUMMARY:
The Administrative Assistant III is a full-time, 12-month position that ensures the smooth and efficient operation of the School of Health Science & Wellness by managing administrative logistics, coordinating communications, and maintaining accurate records. This role enhances the effectiveness of faculty, staff, and students by anticipating needs, maintaining compliance with institutional and external policies, and providing timely support for budgeting, scheduling, and reporting. The Administrative Assistant III plays a critical role in sustaining an organized, responsive, and student-centered environment. 

Position Duties

ESSENTIAL FUNCTIONS: – this position is non-exempt and is eligible for compensatory or overtime pay provisions of the FLSA.

Administrative and Operational Support - Ensures a responsive, organized, and well-functioning academic environment by coordinating administrative logistics, facilitating effective communication, and anticipating operational needs. This role enhances the productivity of faculty and staff, supports student access to services, and upholds institutional policies and procedures through timely, accurate, and collaborative support.

• Creates a welcoming and responsive environment by serving as the primary point of contact for the School, ensuring visitors, students, and staff receive accurate, timely information and are connected to the appropriate resources. 
• Ensures effective internal operations by proactively coordinating logistics for meetings, events, and routine departmental functions, and by facilitating collaboration with other departments to streamline approvals, documentation, and scheduling. 
• Supports institutional accountability and transparency by documenting and distributing clear, accurate meeting records and ensuring compliance with policy and procedure updates. 
• Enhances continuity of operations by assisting with hiring and onboarding processes and supporting the implementation of HR-related functions in accordance with institutional guidelines. 
• Strengthens administrative accuracy and accessibility by organizing departmental records, reports, and documentation in a manner that supports timely reporting and decision-making. 
• Maintains a functional and safe working environment by monitoring facilities and equipment needs and coordinating prompt maintenance or service requests. 

Records and Financial Management - Ensures accurate, compliant, and transparent financial and operational records that support informed decision-making and effective use of departmental resources. By maintaining up-to-date documentation, monitoring expenditures, and facilitating procurement and payroll processes, this role sustains smooth administrative operations and safeguards institutional accountability.

• Maintains comprehensive, organized, and audit-ready financial records by accurately facilitating tracking contracts, purchase orders, P-card transactions, requisitions, and other expenditures in strict compliance with institutional policies and guidelines. 
• Facilitates efficient and compliant procurement operations by coordinating contracts, processing invoices and reimbursements, managing blanket purchase orders, and ensuring timely availability of departmental supplies and equipment. 
• Ensures seamless faculty travel experiences by accurately processing travel requests and expense reports, supporting compliance with College travel policies. 
• Guarantees payroll accuracy and timeliness by preparing and coding necessary documentation within deadlines, ensuring all faculty are compensated correctly and on schedule. 

Scheduling Facilitation - Ensures accurate, up-to-date course schedules and resource allocations that enable smooth registration, optimize classroom use, and support faculty and student success. Through proactive coordination and communication, this role fosters a well-organized academic environment with timely access to course information and instructional materials.

• Enables timely and accurate course registration by maintaining current course schedules and ensuring all course data is correctly entered across registration platforms. 
• Optimizes classroom utilization and instructional readiness by coordinating room reservations and guaranteeing that technological and spatial needs are met for all scheduled courses. 
• Supports faculty and students by ensuring course materials and syllabi are complete and accessible, contributing to a well-prepared and consistent learning experience. 

Other responsibilities may be assigned based on contemporary institutional needs.

PHYSICAL/MENTAL DEMANDS:

• While performing the essential duties of this position, an employee would frequently be required to move around the assigned work areas as well as within hallways, meeting rooms, and other parts of the campus facilities

• Specific vision abilities required by this position include close vision, distance vision, and ability to adjust focus
• The overall work environment requires the mental ability to shift focal point quickly due to interruptions; an employee must be able to mentally track multiple projects and tasking as well

Minimum Qualifications

Minimum Qualifications:

• High School Diploma, GED, or equivalent 
• Four years of experience in customer service or administrative support roles 

Preferred Qualifications:

• Two years of experience with information management systems/software and data entry 
• An Associate’s Degree or higher from an accredited college or university
