This role is essential in ensuring smooth office operations and providing excellent customer service.<br><br> </div><div><strong>Key Responsibilities:</strong></div><ul> <li>Answer phone calls professionally, take messages, and assist with inquiries.</li> <li>Manage appointment scheduling and maintain an organized calendar.</li> <li>Keep the reception area clean and welcoming for guests</li> <li>Receive and sort incoming mail, and documents, ensuring timely processing.</li> <li>File documents alphabetically and chronologically according to established systems.</li> <li>Maintain accurate recordkeeping, updating files with new information regularly.</li> <li>Scan documents and upload them to digital databases for easy access.</li> <li>Download, scan and save proprietary statements, invoices and documents as needed</li> </ul><div> <strong>Required Skills:<br></strong><br> </div><ul> <li>Excellent organizational skills to manage a high volume of paperwork and maintain structured filing systems.</li> <li>Attention to detail to ensure accuracy in filing documents and recording information.</li> <li>Strong communication skills for effective interaction with visitors, staff, and phone callers.</li> <li>Proficiency in Microsoft Office Suites and ability to learn office protocols and procedures for document management and email.</li> <li>Professional demeanor, presenting a positive and welcoming image to clients and guests.</li> </ul><div> <strong>Qualifications:<br></strong><br> </div><ul> <li>High school diploma or equivalent; additional certification in office administration is a plus.</li> <li>3-5 yrs experience in customer service and office administration</li> <li>Ability to multitask and prioritize tasks in a fast-paced environment.</li> <li>Must be able to lift and move 25lbs</li> </ul><div> <strong>What We Offer:<br></strong><br> </div><ul> <li>Competitive salary</li> <li>Opportunities for growth and advancement within the company</li> <li>A supportive and friendly work environment</li> </ul><div> <br>EOE</div> </div>
