OverviewNOTE: Compensation determinations will be made based on years of required relevant occupational experience and meeting educational requirements.
POSITION SUMMARY: Provide confidential strategic support to the Vice President (VP) of Student Affairs in the leadership of student services of the college. Serve as a department lead for the Student Affairs department, supporting coordination, communication, and execution of division priorities. Build and maintain strong working relationships with staff, colleagues, and counterparts at the other WTCS districts. Must perform tasks without direct supervision and maintain confidentiality. Deliver exceptional customer service experience to both internal and external customers throughout every interaction.

ResponsibilitiesESSENTIAL FUNCTIONS (Other duties may be assigned):
(40%) Student Affairs
- Manage and monitor Student Affairs projects, including student information systems, software implementations, grants, reporting, and departmental initiatives.
- Support Student Success planning by researching issues, analyzing impacts, prioritizing projects, and assisting with VP goals, deadlines, and monthly reports.
- Track college initiatives through dashboards, scorecards, reports, and data analysis to support decision-making.
- Prepare, maintain, and analyze operational reports and data to support Student Affairs decision-making, identify trends, monitor outcomes, and inform continuous improvement efforts.
- Maintain Student Affairs communications and content, including The Bridge pages, closed-circuit TV messages, posted materials, and BetterMynd student outreach.
- Provide operational support by answering questions, resolving issues, assisting with Welcome Center coverage, and delivering excellent customer service.
- Coordinate annual updates to the Student Handbook, College Catalog, program sheets, and PolicyTech procedures.
- Serve on Title IX, WCAG Title II, and HLC accreditation efforts by maintaining communications, records, evidence, and documentation.
- Support the ERP student implementation by assisting with project coordination, documentation, communication, and follow-up activities across Student Affairs areas
30%) Student Affairs Operation Support
- Facilitate in the creation and maintenance of student online technology resources by tracking updates, managing documents, and ensuring accessibility for students.
- Communicate, monitor, and coordinate required departmental training required for Student Success staff
- Provide administrative support for academic pathways, including maintaining documentation, tracking timelines, and supporting communication with partner institutions.
- Maintain and update academic pathways to ensure information remains current and accurate.
- Schedule meetings and prepare materials related to pathway development.
- Maintain web pages and related communication tools that provide accurate and accessible information about AA/AS and articulation opportunities.
- Assist with New Employee Orientation presentations, as needed.
- Assist in creating High School (including transcripted credit and 38.14 contracts) contracts.
(20%) Office Leadership
- Provide confidential administrative support to the VP, including managing the calendar, coordinating meetings, scheduling travel, and maintaining files.
- Prepare agendas, materials, minutes, and follow-up items for leadership meetings and other meetings led by the VP.
- Support the VP with department communications, presentations, annual planning, scorecards, HLC-related work, and budget preparation and monitoring.
- Manage office operations, including supplies, P-card purchases, travel arrangements, business cards, name badges, and nameplates.
- Serve as a resource for the Leadership Team office and collaborate with counterparts across the technical college system on projects as needed.
(10%) College Records Management
- Define, establish, implement, provide training, and manage the college’s records management program, including physical and electronic formatted records.
- Research and provide recommendations to address the daily management, retention, and disposal of records.
- Prepare the records retention schedule to ensure that the retention period requirements meet the college, federal, state, and local requirements.
- Recommend changes to the retention periods based upon changes in legal requirements; recommend extension of legal retention periods for valid business reasons.
- Coordinate the annual audit, disposal, training, and records schedule review with each department’s records coordinator.
QualificationsEDUCATION AND EXPERIENCE:
- Bachelor’s degree from an accredited college or university in a related discipline required.
- Minimum of two years of relevant occupational experience required.
- Higher education experience, preferred
