Conference Sales & Services Assistant

Monday to Friday, 8:30AM to 5:30PM

An Hourly Rate Position

 

Position Overview:

Prepares essential client, event and manager documentation; coordinates with Sales, Convention Services, property departments and customer to ensure consistent, high-level service. Position serves as the Sales and Convention Services’ internal office assistant and to transition customer turnover on property appropriately, being responsible for his/her guest experience.

 

Job Responsibilities:

·         Displays strong skills in guest hospitality, exemplifies excellent customer service and creates a positive atmosphere for guest relations.

·         Manages the initial telephone and/or written communications with a guest, in a timely manner, in order to obtain the background details of the group requests so one can communicate the next steps in the process of booking an event. Assists in transitioning the client to the correct Sales Manager or Convention Service Manager to follow up in the group planning process.

·         Communicates accurate group specifications and history to the appropriate department in a timely manner.

·         Promotes the proper use of function space, exhibit hall and overall event spaces.

·         Promotes all available goods, services, attractions and sub-contractors to Sales and Convention Services group functions.

·         Oversees and executes administrative tasks for the day-to-day operations. These tasks include but are not limited to office filing, printing, scanning, managing email and telephone communications, scheduling, outgoing and incoming daily mail distribution, in-house reporting, creating Sales and Convention Services client informational packets, creating package letters, distributing employee birthday cards, ordering office supplies and products, restocking and organizing all office items, etc.

·         Communicates accurately on company policies, fire department regulations, safety alert codes, resort evacuation policies and other applicable government regulations for group or individual traveler business.

 

Receptionist / Sales Coordinator support

·         Preparation for site visits for both sales managers and convention service managers

·         Sales Coordinator administrative tasks including weekly reporting, creating breakfast vouchers, creating files, and inventory of promotional items.
