Job Title: Support Executive - KM
Department: Knowledge Management
Location: Mumbai, NCR, Bangalore
Job Overview
To provide high quality data management and administrative support to the KM team across various operational, functional and coordination tasks. The role involves working closely with KM Team members, Partners, lawyers, business support teams, staff, trainers, vendors to ensure smooth execution and coordination of KM activities across offices. The ideal candidate should be organised, detail-oriented, proactive and capable of managing multiple responsibilities across verticals.
KEY ROLES AND RESPONSIBILITIES
KM Programmes Coordination
• Strong coordination and stakeholder management skills to support seamless execution of various projects and programmes, including the training programme the KM team manages and oversees.
• Ability to manage training calendars, scheduling, attendance tracking and training programme logistics across offices.
• Effective communication and follow-up skills while coordinating with the KM Team members, partners, lawyers, trainers, vendors, and other stakeholders.
• Strong organisational and multitasking abilities to manage multiple KM initiatives and tasks in parallel.
• Ability to create and maintain accurate trackers, databases and performance analytics in relation to different KM projects.
KM Data Management
• Strong database management and record-keeping skills with close attention to detail and accuracy.
• Ability to maintain, organise and regularly update KM databases, trackers, analytics tools, training records and other data as may be required for the smooth execution of KM projects.
• Analytical and reporting skills to prepare summaries, trackers, performance scorecards and periodic internal reports.
• Ability to manage confidential information and maintain structured knowledge repositories and mailing databases.
• Proficiency in maintaining data integrity and ensuring timely updation of records.
• Comfort in using AI-enabled tools and digital platforms to support data management workflow efficiency and organisation.
• Ability to leverage technology and AI-assisted tools to improve accuracy, productivity and overall quality of work output.
Administrative & Operational Support
• Strong administrative and operational coordination skills to support KM initiatives and projects.
• Good writing, documentation and presentation preparation skills.
• Ability to manage multiple priorities, coordinate follow-ups and ensure timely completion of tasks.
• Strong interpersonal and communication skills for effective coordination with internal and external stakeholders.
• Coordinate with stakeholders and undertake quality checks for content publication processes.
• Deep understanding and proficiency in Microsoft Office tools, including Word, Excel, PowerPoint and ability to prepare reports, trackers and programme-related documentation efficiently.
• Openness to adopting new technologies and AI-based tools to streamline operational processes, and administrative and documentation workflows.
• Ability to use digital and AI-assisted solutions to enhance efficiency in presentations, reporting, scheduling and content-related processes.
Travel & Logistics Coordination
• Strong logistical planning and coordination skills for managing travel and programme-related arrangements.
• Ability to coordinate effectively with vendors, hotels, travel partners and internal teams.
• Attention to detail in handling bookings, schedules and travel documentation.
• Ability to manage multiple logistical requirements efficiently within timelines.
QUALIFICATIONS, EXPERIENCE & SKILLS
• Educational Qualification: Graduation in any discipline.
• Experience: 1-2 years of work experience in a law firm or services industry.
Specific Skills:
• Strong written and oral communication skills.
• Excellent attention to detail.
• Deep understanding and proficiency in Microsoft Word, Excel, PowerPoint, and Outlook.
• Comfort in working with AI-enabled and technology-driven tools to enhance workflow efficiency, productivity and quality.
• Adeptness for timely data management.
• Ability to multitask and perform effectively under pressure.
• Proactive, motivated and eager to learn.
