Description
Kitchell seeks an experienced and dedicated Field Office Manager to join our Southern California Region to support education program sites in Oceanside and or San Diego and build a long-term career at one of the most innovative and growth-oriented building companies in the United States.
Overview
Working with Owner’s Representatives, manages a variety of advanced clerical, document control, and receptionist support activities to ensure efficient field office operations at education focused construction programs with multiple active design and construction projects.
Responsibilities
- Schedule meetings and maintain calendar for the team and Director.
- Supports communications efforts
- Supports presentation material preparation in PowerPoint or similar programs
- Answers incoming phone calls, determines purpose of callers, forward calls to appropriate person(s) or voicemail and logs call as required
- Answers questions about field office and provides callers with address, directions, and other information
- Orders and receives office supplies and refreshments and arranges for office equipment maintenance
- Prepares outgoing and distributes incoming mail and express carrier packages
- Coordinates the maintenance and alteration of field office areas and equipment, including layout, arrangement, and housekeeping
- Assists with the set-up and close of jobsite offices and coordinates with IT and accounting as necessary
- Serves as primary contact to outside vendors as related to administrative jobsite operations
- Creates, prints, copies, and distributes correspondence, reports and other documents and ensures all correspondence is recorded
- Maintains systematic retention, protection, retrieval, transfer and disposal of documents and records
- Organizes and ensures document control for all submittals and substitutions, and requests for information
- Assist with project closeout requirements in accordance with contract documents
- Conducts research, compiles, and types reports and maintains project logs
- Performs all data entry for the program
- Processes client billings and invoices for payment
- Maintain hardcopy and electronic files for entire program
- Schedules, coordinates, and arranges meetings, prepares agendas, and prepares facilitates and records minutes of meetings
- Provide assistance regarding internal administrative processes and procedures and assists individuals as necessary
- Utilizes safe work practices and follows directives, policies, and procedures for assisting and maintaining a healthy and safe work environment
- Maintains effective and professional relationships with owners, architects, engineers, and contractors
- Assist Program Manager with Forecasting and Forecast Reporting. Takes the lead in Forecast tracking, accuracy, on-time submission, scanning, saving and properly filing the Forecast
- Assist the Project Manager with GC/GR study. Take the lead in tracking and submitting on-time to the Project Director monthly
- Compiles and distributes the Project Schedules
- Compiles and distributes monthly reports
- Executes additional duties and responsibilities as assigned
Requirements
Education and Experience
- High school diploma or general education degree and specialized or advanced coursework in office administration or related field is required
- 3 or more years of position related work experience in office administration or related field, preferably in architecture, engineering and construction management industry is required (Equivalent combination of education and experience accepted)
Knowledge and Skills
- Knowledge of administrative office procedures and operation of standard office equipment is required
- Effective computer skills, including proficient use of Word, Excel, PowerPoint, and Outlook software is required
- Excellent verbal and written communication skills, including the ability to represent the company in a professional manner is required
License and Certificates
Valid driver’s license with an acceptable motor vehicle record, free from suspensions or restrictions, is required
Work Environment
While performing the duties of this job, the employee frequently inspects the project and may be exposed to ongoing construction and various weather conditions, while wearing personal protective equipment. The noise level in the work environment may range from moderate to loud. The worker is subject to both environmental conditions due to work activities occurring both inside and outside.
Physical Requirements
While performing the duties of this job, the position is moderately active and the employee is frequently standing, walking, reaching, bending, kneeling, stooping, crouching, crawling, and climbing. The position also may also be sitting for long periods of time. The employee may frequently lift and/or move items up to 20 pounds.
Travel Requirements
This position is based onsite at the project location in Mira Costa, CA.

The starting hourly range for this role is currently $26.00 - $31.00/hour. The Company’s salary ranges are determined by role, level, location, and alignment with market data. Individual pay is determined through interviews and an assessment of various factors, including job-related skills, relevant education and experience, abilities of the applicant and equity with other team members. The annual base salary range listed here is subject to change at any time, in the Company’s discretion, and does not alter in any way the at-will nature of the employment relationship.
