POSITION SUMMARY:

The Operations Program Specialist manages Kingston’s strategic accounts and programs, overseeing material planning and scheduling to meet OEM and Data Center customer orders. This role acts as a liaison between customers and internal departments (Warehouse, Accounting, Order Fulfillment, Procurement, and Finance) to coordinate order fulfillment, process transactions between the company, customers, and suppliers, and resolve issues using analytical and technical expertise. Salary: $74,375k- $87,500k

 

ESSENTIAL FUNCTIONS:

  • Manages Sales order processing.
    • Review customer purchase orders for accuracy (part number, pricing, quantity, delivery date, terms).
    • Initiate internal order creation through the Order Processing Department.
    • Track orders through shipment and invoicing.
    • Resolve orders through shipment and invoicing.
    • Resolve order and billing discrepancies.
    • Maintain order status in tracking logs.
  • Ensures accurate transactions across customer, vendor, and internal systems.
  • Oversees third-party warehouse activities, including inventory, receipts, billing, and discrepancy resolution.
  • Generates and maintains customer reports.
  • Monitors aging inventory and follow up with customers on disposition plans.
  • Maintains inventory accuracy across warehouses and systems.
  • Processes supplier and customer RMAs.
  • Responds to customer inquiries and support requests.
  • Issues purchase orders to suppliers and track delivery.
  • Coordinates new part number setup.
  • Setting up new vendor and customer accounts.

 

Special Requirements:

  • Must be able to work flexible hours to accommodate customers and staff in various time zones.

 

GUIDELINES (ABILITIES, KNOWLEDGE, AND SKILLS):

  • Proficient in Word, PowerPoint and Power BI; JD Edwards experience is helpful.
  • Expert in Microsoft Excel.
  • Comfortable with working with data (numbers and computations) and possesses strong attention to detail.
  • Excellent verbal, written and interpersonal communication skills.
  • Ability to successfully manage and prioritize multiple responsibilities and deadlines.
  • Ability to multi-task to successfully manage and prioritize responsibilities and deadlines. 
  • Strong organizational and problem-solving skills.
  • Team player who is self-motivated and a self-starter with the ability to work under minimal supervision.
  • Ability to learn quickly and adapt in a fast-paced working environment.

 

EDUCATION/EXPERIENCE:

  • Bachelor’s degree or equivalent experience in business, finance, sales or related field preferred
  • 2-4 years of experience in Inside Sales or similar role (experience processing orders, order processing and fulfillment, expediting orders, tracking deliveries, delivery scheduling and working with third party warehouses)
  • Experience in an electronics distribution company with a global operation is a plus
