Description
- Oversee day-of event execution through assigned Event Captains; confirm readiness (set-up, décor, seating, service flow), provide direction and resources, and serve as the primary escalation point to ensure a seamless guest experience.
- Create, maintain, and communicate event timelines, floor plans, and room diagrams; adjust plans and communicate with stakeholders quickly as details change.
- Plan and coordinate all event details—logistics, spaces, staffing plans, and service touchpoints—to meet or exceed member expectations and club standards.
- Partner with the Chef and management team to plan and execute major club events and seasonal programming, including holiday celebrations, special dinners, and club-wide member events.
- Work in consort with the Chef to develop and maintain event pricing modules/packages, supporting accurate costing, menu pricing, and clear communication of inclusions and upgrades.
- Coordinate guest management details including reservations/registration, check-in processes, meal selections, special requests, and seating assignments.
- Coordinate audio/visual needs per event specifications (microphones, music, screens, lighting as applicable); ensure equipment is scheduled, set, tested, and supported, and arrange troubleshooting during events as needed.
- Conduct planned check-ins during assigned events to support Event Captains, verify standards, and resolve issues quickly while balancing competing priorities and service needs.
- Develop staffing plans and assign Event Captains and support staff based on event scope; communicate expectations, provide pre-event briefs, and coordinate training (décor standards, dance floor/staging, service flow) to ensure consistent execution.
- Complete post-event documentation and recap details (attendance, issues/resolutions, lessons learned) and share summaries with Club Management as requested.
- Perform other duties as assigned to support the Events and Food & Beverage operation, maintaining a high level of professionalism and member service.
Requirements
- Education/Experience: High school diploma required; college coursework/degree and private club, hospitality, catering, or events experience preferred.
- Club Operating System/POS/NorthStar experience highly valued.
- Demonstrated ability to manage multiple events and deadlines simultaneously; prioritize effectively and work with minimal supervision.
- Strong communication, organization, and attention to detail; able to lead teams calmly and professionally in a high-service environment.
- Proficient with Microsoft Office (Outlook, Excel, Word) and comfortable learning event/reservation and diagramming software.
- Flexible schedule required; must be available to work evenings, weekends, and holidays based on business needs.
- Physical Requirements: Must be able to stand and walk for extended periods, work outdoors as needed, and frequently lift/move event items (tables, chairs, décor, and AV equipment) up to 30 lbs. with or without reasonable accommodation.
- TIPS (or equivalent alcohol service) certification required.
- ServSafe certification required.
