Scope of Responsibilities
Provides secretarial support in the areas of curriculum, instruction, and professional development. Assists with the compilation, design, and preparation of curriculum, instructional projects, professional development, assessments, departmental reports, correspondences, and performs secretarial or other office work in order to maintain flow of work input.
Performance Responsibilities
- Provides direct support to the areas of curriculum, instruction, and professional development.
- Performs secretarial work and other duties, including maintaining budget and curriculum reports and calendars, email/telephone duties, and organizing and filing.
- Prepares documents, correspondence, newsletters, and informational brochures for distribution.
- Maintains and updates intranet and internet websites, including PD calendars.
- Makes arrangements for conferences, workshops, and other professional development opportunities.
- Assists in tracking and managing district-wide professional development and continuing education credits, as well as the entries and final submission to the State of Michigan through software and office systems, including Frontline.
- Assists in all tasks related to survey collecting and reporting, including the preparation and transmission of surveys to staff members.
- Assists in tasks related to collecting information related to SB-CEUs, SCECH’S, and DPPD’S.
- Attends department, support staff meetings, and professional development.
- Inventories and orders materials and supplies as needed.
- Assists in tasks related to survey collecting, verifying, and submitting information related to continuing education credits.
- Assists in the development, preparation, graphic design, and production of curriculum documents and materials.
- Assists in the planning, preparation, and delivery of resources and materials for conferences, professional development, and committee meetings.
- Prepares curriculum-related postings throughout the year.
- Procures best financial cost for materials, services, and supplies. Collaborates and provides support on departmental projects for the department.
- Assists with the preparation for internal and external audits and reviews, and maintains records/documents.
- Performs other duties as assigned by the Director of Curriculum and Instruction.
Minimum Qualifications
- High school diploma or accredited equivalency.
- Must be highly skilled, professional, motivated, and able to work independently
- Highly skilled in Microsoft Office Programs (Word, Excel, PowerPoint, some knowledge of Access)
- Experience in maintaining budgets and generating reports in Excel
- Must be a critical thinker, a self-starter, and someone who can work independently.
- Ability to quickly learn computer programs as they become available and as current programs are updated
- Evidence of skill in written and verbal communications
- Ability to compile, design, and prepare accurate written reports and documents
- Ability to generate solutions to increase productivity and work well with others
- Three years of successful office experience
- Evidence of a desirable work record (i.e., low absenteeism, good performance, flexibility)
Desirable Qualifications
- Previous office experience as an administrative assistant or secretary
- Completion of courses in the use of computers and business procedures/administration or accounting.
- Advanced technical skills.
- Self-starter and motivated to take on multiple projects.
- Ability to work both independently and as a team member.
