As we expand our international operations, we are building a strong remote team in India to manage our CRM, digital systems, and internal workflows.
About the Role
The Zoho Admin Assistant will be responsible for maintaining and optimizing Zoho applications (CRM, Projects, Books, Campaigns, SalesIQ, Forms, and WorkDrive), ensuring seamless coordination between Sales, Advertising, and Admin teams.
This is a hands-on technical and operational role that demands strong communication, proactive task ownership, and excellent documentation habits.
Key Responsibilities
- Manage and document all Zoho Projects tasks and milestones with clear descriptions, links, and updates.
- Maintain and optimize integrations across Zoho CRM, Books, Forms, SalesIQ, and Campaigns.
- Serve as the system liaison for effectively communicating between all departments and team members.
- Ensure app permissions, workflows, and automation rules are properly structured and documented.
- Draft professional task notes, internal updates, and emails using ChatGPT or other AI tools for clarity and tone.
- Actively review Zoho newsletters and resources (like Zenatta) and convert insights into actionable improvements.
- Support senior management with system reports, dashboards, and R&D on workflow enhancements.
- Maintain and update company manuals and documentation as processes evolve.
Requirements
- Proven experience administering Zoho One apps — especially CRM, Projects, Books, Campaigns, and SalesIQ.
- Strong written English and communication skills (AI-assisted writing encouraged).
- Demonstrated ability to maintain structured documentation and follow through on assigned tasks.
- High attention to detail, accountability, and independent documentation skills.
- Experience coordinating across multiple departments or remote teams.
Preferred Skills
- Experience using VaniHQ, Lucidchart, Miro, or similar tools to diagram workflows.
- Familiarity with lead tracking, form integration, and automation design.
- Understanding of project management best practices and cross-functional systems.
Job Details
- Job Type: Full-Time (Remote from India)
- Working Hours: 8 hours/day, with some overlap with U.S. (Houston) business hours
- Compensation: Based on experience, with performance-based growth opportunities
- Tools We Use: Zoho One Suite, Google Workspace, Telegram, and Zoom
