We are looking for a detail-oriented and reliable Remote Follow-Up Assistant to manage and nurture real estate leads through consistent, structured communication. The primary objective is to ensure no lead is missed, and every prospect receives timely, professional follow-ups.
This role is critical in maintaining pipeline momentum and improving lead-to-conversion outcomes through disciplined execution.
Responsibilities
1. Lead Follow-Up Management
- Execute a structured follow-up cadence:
- Daily follow-ups for the first 5–7 days after lead generation
- Follow-ups every 2–3 days thereafter
- Weekly follow-ups for long-term or low-intent leads
- Ensure consistent engagement with every lead until closure or disqualification
2. Communication Handling (SMS / WhatsApp)
- Send personalized and template-based messages via SMS and WhatsApp
- Maintain a professional, friendly, and prompt tone
- Identify leads requesting calls and escalate appropriately
3. Email Communication
- Send structured emails using provided templates, including:
- Property recommendations
- Follow-up messages
- Listing updates and price changes
- General real estate information
- Customize templates where required to maintain relevance and personalization
4. CRM & Data Management
- Maintain accurate and up-to-date records in the CRM:
- Lead status updates (new, active, follow-up, converted, inactive)
- Detailed notes from conversations
- Track responses and non-responses
- Ensure pipeline visibility and data hygiene at all times

5. Consistency & Process Discipline
- Ensure zero lead leakage through disciplined follow-up execution
- Maintain a structured workflow and adhere to defined communication timelines
- Flag high-interest or urgent leads for immediate attention
Qualifications
- Strong written English communication skills
- High level of organization and attention to detail
- Ability to follow structured processes consistently
- Comfortable working with CRM tools, messaging platforms, and email systems
- Responsive and reliable in a remote work environment
Preferred (Not Mandatory)
- Prior experience in real estate, sales, or lead follow-up roles
- Familiarity with lead nurturing and sales pipelines
