This is a hands-on execution role focused on bookkeeping, billing support, accounts receivable, accounts payable, payroll preparation, reconciliations, finance inbox management, and basic reporting support.
Role Purpose
The Junior Finance & Bookkeeping Officer will be responsible for maintaining accurate day-to-day finance records and supporting the smooth running of finance operations.
The role is not senior or strategic. The main purpose is to ensure finance data is complete, organised, up to date, and ready for senior review.
Key Responsibilities
- Maintain day-to-day bookkeeping entries in Xero or similar accounting software.
- Support customer invoicing, billing checks, and invoice processing.
- Maintain accounts receivable records and prepare overdue debtor follow-up lists.
- Enter supplier bills, code expenses correctly, attach supporting documents, and prepare AP schedules.
- Support preparation of payment batches for review and approval.
- Complete bank and credit card reconciliations.
- Escalate unreconciled, unusual, or unclear transactions.
- Prepare payroll input schedules, including hours, leave, allowances, deductions, reimbursements, employee details, and supporting documentation.
- Support payroll processing by ensuring payroll information is accurate and ready for senior review.
- Manage finance inbox triage and categorise emails relating to invoices, payments, payroll, supplier queries, customer queries, and internal finance requests.
- Prepare weekly finance trackers covering billing status, AR, AP, reconciliations, payroll readiness, and open issues.
- Maintain clean records, folders, checklists, and supporting documents.
- Follow standard operating procedures and escalate issues early.
What We’re Looking For
The successful candidate will have:
- Strong bookkeeping and accounting administration skills.
- Experience with Xero, QuickBooks, Zoho Books, or similar. Xero preferred.
- Strong Excel or Google Sheets skills.
- High attention to detail and accuracy.
- Ability to follow checklists and processes.
- Confidence working with invoices, bills, reconciliations, payroll inputs, and basic finance reports.
- Good written communication skills.
- Ability to work remotely with Australian management and India-based team members.
- Strong ownership of recurring daily, weekly, and monthly tasks.
- Willingness to do detailed, repetitive finance work consistently.
Ideal Background
- 2–5 years of experience as a Bookkeeper, Accounts Assistant, Finance Assistant, Accounts Executive, or Junior Accountant.
- Experience with Australian or international clients preferred.
- Experience with Australian bookkeeping, payroll support, BAS preparation support, or month-end support would be valuable.
- BCom, MCom, accounting diploma, or similar finance/accounting qualification preferred.
- Experience in outsourced accounting, KPO, BPO finance, or offshore accounting support would be useful.
