Job Overview
We are seeking a dynamic and proactive Junior Associate – Administration to support the CEO’s Office in managing daily operations, coordination, and communications. The ideal candidate will be an organized, forward-thinking professional who thrives in a fast-paced environment and can seamlessly manage executive priorities while ensuring confidentiality, efficiency, and strong on-ground support to the CEO. The candidate must be flexible, proactive, and capable of handling multiple priorities with discretion and professionalism.
Key Responsibilities
1. Administrative Support
- Assist in managing day-to-day administrative activities of the CEO’s Office.
- Prepare and organize documents, reports, and meeting materials.
- Maintain accurate filing systems and ensure timely data updates.
- Support scheduling, calendar management, and travel logistics.
- Provide real-time on-site administrative assistance to the CEO during meetings, travels, events, and official engagements.
- Provide proactive support for tasks assigned by the Line Manager and CEO, ensuring timely and accurate execution.
2. Coordination & Follow-ups
- Coordinate with internal departments to ensure timely submission of reports and updates.
- Track tasks, deadlines, and deliverables across teams under the CEO’s portfolio.
- Follow up on pending actions and ensure smooth interdepartmental communication.
- Support execution of CEO-led initiatives through effective coordination and monitoring.
3. Communication & Documentation
- Draft internal communications, meeting notes, and official correspondences.
- Assist in preparing presentations, reports, and briefing materials.
- Maintain strict confidentiality while handling sensitive information.
- Ensure accurate documentation of discussions, decisions, and action points.
4. Proactive Engagement & On-Site Support
- Anticipate administrative and operational needs of the CEO’s Office.
- Provide hands-on ground-level support during meetings, events, and strategic discussions.
- Identify process gaps and suggest improvements for operational efficiency.
- Stay aligned with evolving priorities of the CEO and adapt quickly to dynamic requirements.
- Be flexible with working hours based on business needs, events, and executive schedules.
Skills Required:
- Excellent written and verbal communication skills.
- Strong organizational and multitasking abilities.
- High attention to detail and accuracy.
- Proficiency in MS Office (Word, Excel, PowerPoint, Outlook).
- Professional demeanor with the ability to maintain confidentiality.
- Proactive attitude with a strong sense of ownership.
- Valid driving license with confident driving skills (mandatory).
- Ability to work flexible hours based on executive requirements.
