Job Description: Architect / Interior Designer Fit-out Coordination
Reports to: Project Manager / Client Representative
Project: Commercial Office Building – Tenant Fit-out Coordination (S-Class, Japanese Standard)
Role Overview
The Fit-out Coordinator will serve as the interface between the main contractor, client, and multiple tenant fit-out teams. The role ensures that all tenant works are executed in strict compliance with the client’s fit-out guidelines, base building standards, and project schedule, maintaining the highest levels of workmanship, safety, and coordination. This is a premium-grade project built to S-Class Japanese standards, requiring exceptional attention to detail and finish quality.
Key Responsibilities
- Review and verify tenant fit-out drawings, method statements, and material submissions for compliance with client and base building standards.
- Coordinate the design review and approval process with client, consultants, and relevant authorities.
- Track tenant fit-out progress against the master schedule, identifying risks or delays.
- Organize and lead coordination meetings with tenants, consultants, and site teams.
- Ensure all tenant works are properly coordinated with base building MEP and service systems.
- Verify that no structural or service modifications are made without approval.
- Ensure materials, finishes, and construction methods align with project quality and sustainability benchmarks.
- Conduct frequent site inspections to ensure adherence to approved drawings, detailing, and finish quality.
- Identify and report non-conformances; follow up on corrective actions.
- Coordinate sequencing of works between multiple tenant and contractor teams to avoid interference.
- Maintain comprehensive logs for drawings, material approvals, inspections, and correspondence.
- Prepare weekly and monthly reports summarizing progress, issues, and resolution status.
- Assist in snagging, testing, and handover documentation for each tenant space.

Important Note
As a Japanese organization, we uphold a disciplined approach to work, which includes a clear structure around working hours. Our office operates firmly from 8:30 AM to 6:00 PM, Monday to Friday, Saturday/Sunday(for some client meetings). We appreciate adherence to these timings.
