Position Overview
The
Lead – IT Order Management is responsible for overseeing the end‑to‑end lifecycle of IT service orders, ensuring seamless coordination between clients, internal delivery teams, vendors, and procurement. This role is pivotal in driving operational excellence, process governance, and continual improvement across the order management function within an IT advisory environment.
The ideal candidate possesses strong analytical skills, stakeholder management experience, and deep understanding of IT procurement, licensing, asset processes, and service delivery operations.
Key Responsibilities
- Order Lifecycle Management
- Manage end‑to‑end processing of IT orders (hardware, software, licenses, cloud services, support services) from intake to fulfillment.
- Review and validate order requirements, ensuring completeness, accuracy, and compliance with organizational standards.
- Coordinate with procurement, vendors, finance, and IT delivery teams to ensure timely order execution.
- Oversee logistics, delivery schedules, vendor SLAs, and any escalations impacting order timelines.
- Stakeholder and Vendor Coordination
- Serve as the primary point of contact for internal stakeholders regarding order status, dependencies, and delivery expectations.
- Maintain strong relationships with strategic vendors, OEMs, and procurement teams.
- Conduct periodic vendor performance reviews related to order fulfillment and SLA adherence.
- Process Governance & Optimization
- Develop, refine, and document order management processes, ensuring adherence to governance, compliance, and audit standards.
- Drive process improvements using data insights, automation opportunities, and industry best practices.
- Ensure alignment with ITIL processes – especially Service Request Management, Asset Management, and Change Management.
- Financial & Contractual Oversight
- Validate pricing, contract terms, and budget alignment for all incoming order requests.
- Support finance teams in invoice validation, forecasting, chargeback models, and budget utilization reports.
- Track cost optimization opportunities and ensure contractual compliance.
- Reporting & Analytics
- Maintain dashboards and reports on order volume, SLA compliance, vendor performance, and backlog metrics.
- Present monthly and quarterly performance reviews to leadership and stakeholders.
- Provide insights to support procurement strategy, demand forecasting, and operational planning.
- Team Leadership & Collaboration
- Lead and mentor a team of order management specialists/executives.
- Assign workloads, monitor performance, and ensure high-quality delivery.
- Promote a culture of accountability, continuous improvement, and client-centric service.
Technical Skills
Required Skills & Competencies
- Strong understanding of IT procurement processes, licensing models, and asset lifecycle management.
- Familiarity with ITIL framework (ITIL certification preferred).
- Experience with ITSM tools (ServiceNow, BMC Remedy, Cherwell, or similar).
- Knowledge of enterprise hardware/software ecosystems (Microsoft, AWS, Cisco, Dell, etc.).
- Proficiency in Excel, reporting tools, and workflow management systems.
Leadership & Soft Skills
- Excellent stakeholder communication and vendor negotiation skills.
- Ability to manage multiple high‑priority tasks in a fast-paced environment.
- Strong analytical and problem‑solving abilities.

- Experience leading or managing small to mid‑sized teams.
Qualifications & Experience
- Bachelor’s degree in information technology, Business, Supply Chain, or related field.
- 7–12 years of experience in IT order management, IT operations, or procurement within an IT services or advisory environment.
- Experience working with global teams and large enterprise clients (preferred).
- Certifications such as ITIL, PMP, or Supply Chain certifications (a plus).
