JOB PURPOSE:
The incumbent is responsible for the end-to-end lifecycle management of IT hardware and software assets across the facility, from planning and procurement through deployment, redeployment, and secure disposal. The role owns the accuracy of the asset register and CMDB, Software Asset Management and licence compliance, asset budgets, refresh planning, warranty/AMC coverage, and vendor management. The role also drives ITAM processes aligned with ITIL and ISO standards, supports audits and compliance, and optimises asset costs, data quality, and total cost of ownership.
JOB ACCOUNTABILITIES:
- Establish policies, processes and governance for IT Asset Management in accordance with ITIL and ISO 19770 best practices.
- Own the IT asset register and CMDB - ensure every hardware and software asset is tagged, recorded and reconciled from procurement through to disposal.
- Responsible for periodic audit and physical verification of all IT assets - plan and execute half-yearly/annual wall-to-wall verification across all locations, tag and validate each asset, and reconcile physical stock against the asset register, CMDB and the Fixed Asset Register maintained by Finance.
- Investigate and resolve discrepancies, shortages and untraceable assets arising from verification; document root cause, obtain write-off approvals and implement corrective actions to prevent recurrence.
- Own Software Asset Management and licence compliance - maintain entitlement records, monitor consumption against entitlements, manage renewals and true-ups, and lead vendor audit defence.
- Manage IT asset procurement demand - specification, vendor evaluation, raising PRs and POs in SAP, PO tracking, goods receipt and invoice reconciliation with Finance and Supply Chain.
- Drive the hardware refresh and technology roadmap - forecast replacement cycles, build the annual capex and opex plan for IT assets, and track spend against budget.
- Manage warranty, AMC and support contracts across all asset classes; ensure timely renewal and hold vendors to contracted service levels.
- Own asset deployment, movement and recovery processes - joiner/mover/leaver asset issue and retrieval, stock and spares management, and control of the IT store.
- Manage secure IT asset disposal and e-waste in line with statutory, data-security and environmental requirements, with full chain-of-custody and certificates of destruction.
- Drive cost optimisation through licence harvesting, demand management, standardisation of the asset catalogue and reduction in total cost of ownership.
- Implement and administer the ITAM/SAM toolset and discovery agents; drive automation of asset data capture and improve data accuracy.
- Support periodic IT audits, ISO certifications and statutory, health and safety compliances relating to IT assets across the facilities.
- Define and report ITAM KPIs and metrics - asset data accuracy, licence compliance position, utilisation, ageing, refresh adherence and cost per asset.
- Foster vendor and OEM relationships, negotiate commercial and contractual terms with Procurement and Legal, and manage partner performance.
- Manage the performance, development and well-being of the asset management team and contracted staff, and guide stakeholder teams across all locations.
- Establish and maintain relationships with industry peers and external organisations, working with outside partners/consultants as appropriate.
QUALIFICATIONS:
- Graduate / Postgraduate in Engineering or Computer Science discipline
- Desirable: ITIL Foundation / Intermediate, IAITAM (CHAMP / CSAM / CITAM) or ISO 19770 and ISO 27001 certifications
SKILLS/ COMPETENCIES REQUIRED:
- Experience in setting up and leading IT Asset Management and Software Asset Management functions for mid to large enterprises.
- Hands-on experience with ITAM/ITSM platforms (ServiceNow ITAM/SAM Pro, Flexera, Snow, Ivanti or equivalent) and discovery/inventory tooling.
- Working knowledge of SAP (MM module) for raising and tracking Purchase Requisitions (PR) and Purchase Orders (PO), including vendor master, service entry sheets, goods receipt (MIGO) and invoice/GRN reconciliation.
- Strong working knowledge of licensing models for major OEMs (Microsoft, Oracle, SAP, Adobe, VMware) and experience handling vendor audits and true-ups.
- Exposure to Convention Centre, Retail, Performing Arts and Hospitality domains.
- Experience in managing procurement, contracts, budgets and vendor performance for IT assets.
- Strong analytical and data management skills; advanced Excel and reporting/dashboarding ability.
- Excellent listening, interpersonal and stakeholder management skills, with a strong customer-service orientation.
- Ability to communicate concepts effectively in both technical and user-friendly language.
- Highly self-motivated and detail-oriented, with a strong focus on data accuracy and quality.
EXPERIENCE:
- 8+ years of overall IT experience, including at least the last 3 years of experience in IT Asset Management / Software Asset Management within an ITIL-aligned environment.
