ROLE DESCRIPTION
We are seeking a full-time Executive Assistant with Agentic AI expertise to work on-site at our Hyderabad location. The Executive Assistant will provide administrative and executive support, manage expense reports, coordinate schedules, and perform tasks to ensure smooth operations. This role involves maintaining communication channels, preparing reports, and implementing AI tools to streamline business processes, supporting senior executives and contributing to organisational efficiency.
ABOUT THE COMPANY
PRODG is a multi-brand, multi-category export company in active expansion -- combining a global B2B export operation across spices, phytochemicals, IQF produce, botanicals, rice, honey, and tea; two consumer brands (ChitChatChai, KISSS Beverages); and an active founder led personal brand. The EA is the Founder's principal operator: the person who holds the intelligence layer, builds the systems, and owns every commercial and compliance function across all business units.
Mission: reclaim 30-40 hours per week for the Founder through automation, ownership, and structured execution.
KEY RESPONSIBILITIES
1. Agentic AI Setup & Company Brain
— Design and deploy multi-agent AI workflows using Claude, ChatGPT, Sintra, VAPI, n8n, Make.com, and Zapier to automate executive and operational tasks end-to-end; set up and manage Memorae for calendar intelligence, Tryholo.ai, and custom prompt systems; continuously identify and deploy new automation opportunities without being prompted.
— Build and maintain the company knowledge brain on Obsidian -- SOPs, research, contacts, decisions, and institutional memory across all ventures; architect searchable knowledge platforms and RAG-powered systems over the company's research and compliance document libraries.
2. Executive Calendar, Inbox & Operations
— Own the Founder's calendar -- color-coded priorities, meeting clustering, deep work protection, daily digest, and pre-meeting briefs; manage inbox triage across accounts and draft all stakeholder correspondence; maintain Odoo ERP sync, CRM hygiene (HubSpot, Instantly), and field execution play-books.
— Build SOPs using the 4C Framework (Camcorder, Course, Cadence, Checklist) for all recurring processes; maintain the master project dashboard across all PRODG ventures; coordinate hiring, onboarding, and cross-functional execution for field teams and network partners.
3. Export Intelligence & Trade Research
— Own the full buyer intelligence function -- researching international importers, distributors, and procurement decision-makers across the US, UAE, China, Thailand, Australia, and EU using Apollo.io, Apollo MCP, Vibe Prospecting, LinkedIn Sales Navigator, and custom web scrapers; translate findings into structured, actionable intelligence briefs with import volumes, consignment data, port activity, and decision-maker mapping.
— Manage all trade-facing correspondence and commercial documentation -- from personalized outreach to Indian embassies and trade missions
(researching recipients' career history and policy focus) to producing technically complete RFQs, Preferred Strategic Partner Agreements, and Vendor Registration Forms. Own export compliance infrastructure: RoDTEP (Appendix 4R/4RR, ARR filing), ECGC, ITC-HS classification (37+ product lines), ICEGATE EDI, FEMA/eBRC, and certification renewals across APEDA, Spices Board, and CHEMEXCIL.
4. Content Strategy & Personal Branding
— Build content architecture for Think..Tej (Founder's LinkedIn presence): define pillars, buckets, and themes; populate the content pipeline 4
weeks ahead; manage post scheduling, carousel design briefs, and image sourcing. Produce all commercial and stakeholder assets
independently: investor decks, brand collaterals, corporate pitch materials, and B2B brochures.
— Own Meta Ads, email marketing, SEO, and AI search visibility across ChatGPT, Gemini, and Perplexity for all PRODG brands; drive B2B distribution development for ChitChatChai and KISSS Beverages through structured outbound prospecting, partner onboarding, and full-funnel management.
5. Digital Infrastructure & Automation
— Manage and update the company website (Webflow/HTML-CSS); maintain data pipelines across Social Media, Google Sheets, CRM, and Odoo ERP; monitor and optimize lead funnels, automate nurturing sequences, and deliver weekly KPI dashboards.
— Build and manage channel partner outreach and onboarding systems; architect reusable automation infrastructure that reduces the Founder's operational load without requiring ongoing maintenance.
ROLE COMPETENCIES: Tech-Forward Executive Assistant
1. AI, Automation & Technical Systems
* Generative AI & Tool Integration: Practical proficiency with foundational LLMs (Claude, ChatGPT) and specialised AI tools (Sintra, VAPI, Lovable, Memorae, Tryholo.ai) to automate routine business processes.
* No-Code & Workflow Automation: Building and maintaining operational workflows using Make.com, Zapier, and structured multi-agent designs.
* Data & Infrastructure Awareness: Baseline familiarity with RAG application architectures (Next.js, OpenAI, Pinecone, Vercel) and production deployment tracking via Git repositories.
* Knowledge Management & R&D: Structuring and updating a centralized Obsidian knowledge base; setting up open-source research environments on VPN (Hermes/OpenHuman) for continuous tool improvisation.
2. Global Trade, Export & Compliance
* Regulatory Documentation: Managing and maintaining Export-Import (EXIM) basics, including IEC and RCMC maintenance, and navigating ICEGATE/Customs EDI portals.
* Trade Compliance & Incentives: Working knowledge of ITC-HS classifications (Chapters 1–35+), Incoterms 2020, RoDTEP claims, and ECGC insurance procedures.
* Banking & Institutional Relations: Handling FEMA compliance, tracking eBRCs, and managing professional correspondence with embassies, trade bodies, and councils (APEDA/CHEMEXCIL).
3. Market Research & B2B Lead Intelligence
* Prospecting Tool Stack: Navigating outbound data and prospecting tools, including Apollo.io, Apollo MCP, Vibe Prospecting, and LinkedIn Sales Navigator.
* Mining government and global trade databases (DGFT, APEDA, MPEDA) to source primary and secondary market intelligence.
* Executive Reporting: Translating raw market data into highly structured, crisp intelligence briefs for leadership decision-making.
4. Operations, CRM & Funnel Management
* Enterprise Systems: Daily administration of HubSpot CRM, Odoo ERP, and Google Workspace to keep business data accurate and centralised.
* Outbound & Sales Operations: Managing email deliverability and campaigns via Instantly; tracking B2B funnel KPIs and updating performance dashboards.
* Operational Coordination: Executing channel partner onboarding systems, managing social media channels, and handling hiring/recruitment coordination.
5. Brand, Content & Digital Marketing
* Executive Branding: Managing the personal brand content calendar (ThinkTej LinkedIn strategy) and coordinating timely delivery of assets.
* Design & Web Basics: Creating clear visual briefs for design teams, utilising Canva, and handling basic updates via Webflow, HTML, or CSS.
* Growth Marketing: Coordinating email marketing campaigns, setting up Meta Ads, and optimising digital content for standard SEO and AI search visibility (ChatGPT, Gemini, Perplexity).
IDEAL CANDIDATE
— High agency -- takes full ownership without being managed; asks once, executes completely; anticipates requirements and surfaces risks before they are raised.
— AI-native operator -- uses AI tools as a default, keeps up with new tools proactively, and builds automations that run without maintenance. Has shipped at least one working AI-powered system in production.
— Writes professionally across every format without editorial support: diplomatic correspondence, investor deck copy, compliance clause, vendor message. Format does not matter -- quality does.
— Prior Founder's Office experience required; export/trade familiarity and comfort with HSN codes, Incoterms, and compliance documentation strongly preferred.
