About Namaste Design Studios
We're a fast-growing interior design studio based in Mumbai, delivering end-to-end residential and commercial interiors — from concept to execution. We run lean, move fast, and use technology to punch way above our weight.
The Role
We're looking for an Interior Operations Executive who will be the backbone of our studio — handling operations, vendor management, project coordination, AND people management. You're not just keeping projects on track; you're keeping the entire team running smoothly. If you love being the person who "makes things happen" across every department, this is your role.
What You'll Do
Operations & Vendor Management
- Call vendors, collect and compare quotations, negotiate rates, follow up on material delivery timelines, and maintain an updated vendor database across categories (plywood, laminates, hardware, glass, stone, fabricators, etc.)
- When a project needs a specific door design, kitchen layout reference, modular fitting, or finish option — you find it. Source catalogues, reference images, and product specs so the design team can move fast.
- Track all active projects — where they stand, what's pending, who's responsible. Ensure designers, fabricators, and site teams are aligned on timelines and deliverables.
- Schedule and coordinate site visits for measurements, inspections, and installations. Ensure the right people are at the right site at the right time.
Call Handling & Reporting
- Be the first point of contact for incoming calls — client queries, vendor follow-ups, site updates, candidate calls.
- Summarise every call with clear action items and flag anything that needs the founder's attention. Nothing should slip through without a written trail.
HR & People Management
- Hiring: Own the full recruitment cycle — draft and post job listings, screen resumes, conduct initial phone screenings, schedule interviews, follow up with candidates, and manage offer rollouts and joining formalities.
- Onboarding: Ensure every new joiner has a structured first week — documents collected, tools set up, introductions done, and expectations clearly communicated.
- Attendance & Leave Management: Track daily attendance, manage leave requests, and maintain accurate records for payroll processing.
- Payroll Coordination: Compile monthly attendance, overtime, deductions, and advances. Coordinate with accounts to ensure timely salary disbursement.
- Employee Records: Maintain up-to-date files for every team member — offer letters, ID proofs, emergency contacts, appraisal records.
- Policy & Compliance: Enforce studio policies around work hours, site conduct, dress code, and leave. Handle initial-level grievances and escalate when needed.
- Performance Tracking: Maintain a simple performance log — project contributions, attendance patterns, feedback from designers and clients — to support appraisal discussions.
- Team Coordination: Be the go-to person for internal communication. Make sure the right people know about schedule changes, new projects, policy updates, and deadlines.
Who You Are
- 1–3 years of experience in operations, HR, or project coordination — ideally in interior design, architecture, construction, or a similar field
- Based in Mumbai (Goregaon / Western suburbs preferred)
- Excellent communication skills in Hindi and English — you'll be on calls and coordinating with people all day
- Highly organised and comfortable juggling multiple responsibilities without dropping the ball
- Familiar with interior materials, vendors, and the general workflow of residential interior projects
- Comfortable with WhatsApp-based coordination, Google Sheets, and basic HR/CRM tools
- You don't wait to be told what to do — you figure it out and report back
Good to Have
- Prior experience with HR operations in a small team or startup environment
- Familiarity with fabrication units, vendor procurement, or modular kitchen/wardrobe components
- Exposure to payroll tools, attendance systems, or HRMS platforms
- Knowledge of hardware brands like Hettich, Ebco, Hafele
- Experience with BOQ preparation or quoting
