Role Description
This is a full-time remote role for an Intellectual Property Paralegal at Outsourcing Business Solutions (OBS). The Paralegal will collaborate closely with attorneys and clients to ensure accurate documentation while maintaining compliance with laws and timelines. The role also requires maintaining a thorough understanding of intellectual property laws and researching legal precedents to provide practical insights and support.
The role involves the following tasks to be performed by the candidate:
- USPTO Filing & Prosecution Support
• Prepare, review, and file patent applications, office action responses, and related USPTO correspondence
• Monitor USPTO deadlines, docket critical dates, and maintain prosecution timelines
• Prepare and file information disclosure statements (IDS), power of attorney forms, and assignment recordations
• Coordinate with the USPTO regarding filing confirmations, receipt notices, and status inquiries
2.Patent Support
• Maintain and organize patent portfolios and prosecution history files
3. Trademark Applications & Monitoring
• Prepare and file trademark applications, amendments, statements of use, and renewals with the USPTO
• Conduct trademark searches using the USPTO TESS database and third-party search tools
• Monitor trademark portfolios for maintenance deadlines, renewal dates, and opposition windows
• Prepare responses to office actions and correspond with examining attorneys under attorney supervision
• Maintain client trademark dockets and provide status updates as requested
4 Document Review & Case Management
• Review, organize, and index case files, prosecution histories, and client correspondence
• Prepare and maintain case management records within the firm’s docketing and practice management system
• Draft routine correspondence, transmittal letters, and client status updates under attorney supervision
• Assist with document production, file organization, and archival for active and closed matters
• Support onboarding of new client matters including conflicts checks and file setup
5 General Requirements
• Strong written and spoken English communication skills — client-facing written communication will be reviewed and approved by attorneys
• Availability during U.S. Eastern Time core hours (minimum overlap of 9:00 AM – 5:00 PM ET)
• Proficiency with Microsoft Office 365, USPTO electronic filing systems (EFS-Web / Patent Center), and TEAS
• Experience with legal practice management or docketing software (e.g., Appcoll and Odoo)
• Strict adherence to attorney-client privilege, confidentiality obligations, and data security requirements.
• Proactive attitude, including identifying potential issues or mistakes proactively.
• Willingness to learn and use AI tools.
• Attend weekly docket meetings and send daily reminders.
