Key Result Areas
Activities (What will I do?)
Coordination and Communication
- Responsible for EXIM – Imports & Exports Documentation, KYC for custom clearance for all shipments done for Neptunus customers
- Coordinate with Neptunus Warehouse for any goods arrivals and dispatch by ensuring error free packing lists; documentation and with SEZ officials for proper custom clearance for goods moved through SEZ.
- Coordinate with Freight Forwarders, CHA, Transporters for Freight and Transport Negotiations
- Overseeing Fumigation of material; and container stuffing for LCL and FCL shipments remotely
Commercial Invoicing and Documentation
- Preparing CIPL and Bank Letters with all required updates such as assessment value; duty and freight costs etc (export invoicing, packing list, bank letters etc.)
- Preparing Invoices for Clearance from Excise & Customs Authorities.
- Movement of goods from Neptunus Warehouse to Neptunus Free Trade Zone
- Cross-checking Shipping Documents and details(such as consignee details; notify parties, addresses; Port of Loading/dispatch etc) from principals and Freight Forwarders of customers
- Reviewing LC Terms and Conditions for all LC Shipments and preparation of LC documents for Bank Purposes
- Getting GR Export Waiver for Export of goods
- Adhering to Incoterms 2020 Guidelines for shipping and logistics
Administrative and Legal Compliances
- Arranging Insurance policies and certificates for export shipment based on shipment value
- Booking cost-effective freight options for movement of goods under Neptunus’ Scope
- Keeping abreast with RBI regulations for export of material and goods
- Updating HSN Codes in all Commercial Invoices
- Maintain MIS by furnishing and storage of shipping documents of all shipments as proof of delivery for easy tracking for Neptunus Finance and Accounts Team
Knowledge/Skills/Behaviors the Candidate Should Possess:
Knowledge/Skills/Behaviors
Must Have (M)/ Nice to Have(N)
Knowledge (Functional and Technical):
- 2-3 years of experience into all shipping processes and shipping documentation requirements for air freight; sea freight, MTT and for High Sea Sales
- Complete knowledge of all shipping documentation for country-specific imports and custom clearance requirements such as ACID code for Egypt Imports and other requirements for sea-freight shipments into USA
- Complete knowledge of Incoterms 2020
- Understanding the implications of details on shipping documents such as MAWB and HAWB to begin clearance and to track shipments
- Experience of working in a CHA or in the EXIM department of an organization with sizeable imports/exports (atleast INR 75 Crore of imports/exports per year)
- Understanding of how container stuffing works
- Experience of dealing with shipments to/from Egypt and USA apart from countries in Europe
- Experience of MTT transactions and Trans-Shipments
Skills (Functional and Technical):
- Ability to communicate to multiple customers at a time regarding their order status: high level of accountability and organization to ensure high response rate
- Strong Written and Verbal English
- Ability to communicate with suppliers in Europe, USA and Japan in fluent English over emails and phone
- Sound MS Excel Knowledge including knowledge of Vlook Up; HLook Up, Pivot Tables
Behaviors (Technical and Non-Technical):
- Attitude to getting things done on time without reminders
- Being proactive and prepared: getting important documentation in place so that time is not wasted once shipment is ready
- Persuasive: Negotiating better Freight Rates, or understanding legal compliances and changes in EXIM laws through EXIM consultants
- Reading/Self-Learning to get problems/queries resolved
Challenges of the Role
- This role will involve the candidate to be quickly up to speed with customer’s requirements to get shipments moved.
- It will require the candidate to have excellent interpersonal relations with freight forwarders and CHA handlers to get shipments moving fast.
- The challenge of this role will also involve being aware of legal and statutory requirements of EXIM regulations, changing rules about documentation for Sea Shipments for different countries and also about financial risk evaluation for all shipments that are done by Neptunus.
