Job description
The US Payroll Specialist is responsible for managing and processing payroll for employees in the United States, ensuring accuracy, compliance, and timely payroll execution. This role involves payroll data validation, tax compliance, benefits deductions, reporting, and coordination with HR, finance, and external payroll providers. The position plays a critical role in ensuring employees are paid accurately and in compliance with US payroll regulations and company policies.
Key Responsibilities
- Process end-to-end US payroll ensuring accuracy and timeliness.
- Validate payroll inputs including employee hours, compensation changes, bonuses, and deductions.
- Maintain and update employee payroll records, tax information, and direct deposit details.
- Ensure compliance with US payroll laws, tax regulations, and statutory requirements.
- Coordinate with HR for payroll inputs including new hires, exits, and salary changes.
- Manage payroll deductions such as benefits, taxes, retirement contributions, and other deductions.
- Manage payroll audits and maintain proper payroll documentation.
- Generate and maintain payroll reports, reconciliations, and payroll-related data.
- Address and resolve employee payroll queries and discrepancies.
- Ensure confidentiality and security of payroll data and employee information.
- Identify opportunities to improve payroll processes and operational efficiency.
- Support year-end payroll activities, including tax documentation and reporting.
- Ensure payroll activities are completed within defined timelines and SLAs.
Desired Candidate Profile
- Bachelors degree in Accounting, Finance, Human Resources, or a related field preferred.
- 3–6 years of experience in US payroll processing or payroll operations.
- Strong knowledge of US payroll processes, tax regulations, and compliance requirements.
- Experience working with payroll systems, HRIS, or payroll platforms.
- Experience handling multi-state payroll is an advantage.
- Proficiency in MS Excel and payroll reporting.
- Strong attention to detail and numerical accuracy.
- Good analytical and problem-solving skills.
- Excellent communication and coordination skills.
- Ability to handle confidential payroll information responsibly.
- Ability to work independently in a fast-paced environment and meet deadlines.
Additional Requirements
- Availability to work night shifts supporting US operations is mandatory.
- Experience working in US-based companies or international payroll environments is mandatory.
Minimum Qualifications
- Bachelor’s degree in Accounting, Finance, Human Resources, or a related field preferred.
- 3–6 years of experience in US payroll processing or payroll operations.
