About the role

Overview

We are looking for a proactive, detail-oriented, and highly organised intern to join Ibtechar’s Operations Department for a full-time paid internship during Q3 2025. This role provides a unique opportunity to collaborate directly with the Director of Operations and gain hands-on experience in managing and optimising business operations and knowledge management within a dynamic and fast-paced innovation-driven company.


The main goal of this internship is to design and implement a comprehensive, efficient, and user-friendly information repository system on Google Drive tailored specifically for the Operations Department. The intern will be responsible for conducting a thorough audit of the current project documentation, analysing inconsistencies and information gaps, and evaluating how documents are stored and shared across other departments such as Finance, Marketing, and Business Development. Based on these insights, the intern will develop and recommend a clear, standardised protocol for organising, naming, and storing project files and reports to enhance operational efficiency and foster seamless collaboration across teams.


To ensure continuous progress and alignment, the intern will participate in weekly review meetings with the Director of Operations, during which updates, challenges, and next steps will be discussed. Additionally, the intern will be required to submit a weekly report of hours worked and key accomplishments to maintain transparency and effective time management throughout the internship period.


Responsibilities

Documentation Review & Analysis: Conduct a comprehensive review and detailed analysis of the existing documentation and information management workflows for all projects within the Operations Department, focusing on data integrity, accessibility, and compliance with company standards.


Gap Analysis: Perform a thorough gap analysis to identify data inconsistencies, missing information, and process inefficiencies within the current document control and file management systems.


Interdepartmental Document Handling: Examine interdepartmental document handling procedures, specifically how project files are shared, synchronised, and collaborated on between Operations and other key departments such as Finance, Marketing, and Business Development.


Project Data Management Evaluation: Evaluate the current state of project data management for active initiatives, including file versioning, metadata usage, and storage conventions; based on this evaluation, propose and design a standardised folder hierarchy and document taxonomy to ensure consistency and scalability.


Repository System Design & Implementation: Architect and implement a structured information repository system on Google Drive, establishing a clear and detailed protocol for the creation, naming, organisation, storage, and maintenance of project files, reports, and operational records, aligned with best practices in digital document management.


Documentation Protocol Development: Develop user-centric documentation guidelines that are intuitive and practical for both internal Operations use and external collaboration, ensuring data security, ease of access, and compliance with organisational policies.


Reporting & Presentation: Prepare and deliver comprehensive presentations summarizing audit findings, improvement recommendations, and the finalized documentation protocol to the Director of Operations, facilitating informed decision-making and adoption.


Qualifications

  • Current undergraduate or recent graduate in Business Administration, Operations Management, Industrial Engineering, Information Management, or a related field.
  • Basic knowledge of Google Workspace (Drive, Docs, Sheets) and document management systems.
  • Strong organizational, analytical, and communication skills.
  • Attention to detail and ability to work independently and within a team.
  • Interest in innovation management and operational efficiency is a plus.
  • Proficiency in both English and Arabic languages is required.
