About the Role
EcoSystems is seeking a detail-oriented and organized Install Admin to support daily operations within the installation department. This role plays a key part in coordinating new sales, scheduling installations, supporting field teams, and ensuring accurate job tracking from start to finish.
This is a fast-paced, team-focused position that requires strong communication, organization, and the ability to manage multiple moving parts at once.
What You’ll Do
New Sales & Scheduling Support
• Pull new sales reports and input data into internal tracking systems
• Contact customers to introduce the company and confirm contact details
• Schedule pre-walks and coordinate installation timelines
• Send “what to expect” communication prior to installation
• Contact customers for installation scheduling and confirmations
Install Coordination & Customer Communication
• Coordinate schedules with customers to ensure timely appointments
• Proactively communicate timelines, updates, and expectations
• Handle inbound calls and leads, qualifying customer needs
• Support sales representatives with scheduling and follow-up
Job Tracking & Field Support
• Organize daily reports with project and production managers
• Assist field managers with scheduling adjustments and daily coordination
• Reconcile crew times and track job progress
• Keep crew leaders aligned with scheduling and dispatch expectations
• Prepare and maintain accurate job records
Job Closeout & Account Updates
• Close out residential and homebuilder installation jobs
• Close out and invoice post-walk and quality control jobs
• Add warranty and membership details to customer accounts
• Input membership and add-on services tied to installations
Reporting & Performance Tracking
• Track man-hours and report wins/losses per job and crew
• Support tracking of new sales and seasonal services (including winterizations)
• Maintain accurate customer data across systems
Utility Locates & Permits
• Order utility locates for installations
• Reorder, cancel, or follow up on locate requests as needed
• Track utility hits and maintain organized records
• Monitor and track billing related to utility locate services
Must-Have Qualifications
• High school diploma or GED
• 1–3 years of administrative or operations support experience
• Strong communication and organizational skills
• Proficiency with Microsoft Office (Excel, Outlook, Word)
• Ability to multitask and manage priorities in a fast-paced environment
• Ability to work independently with minimal supervision
Nice-to-Have Skills
• ServiceTitan experience
• Experience in irrigation, construction, or home services
• Experience supporting scheduling or field operations
Schedule & Location
• Monday to Friday, standard business hours (with peak season flexibility as needed)
• On-site in Freehold, NJ
• Occasional local travel may be required
