Job Description – Plant HR Specialist
Purpose of the Role
The Plant HR Specialist supports and drives the Human Resources function at the plant under the guidance of the Plant HR Manager. The role focuses on employee engagement, talent acquisition, leadership support, attendance and payroll administration, compensation and benefits coordination, statutory compliance, and implementation of HR policies and procedures.
Key Responsibilities
1. Recruitment & Talent Acquisition
- Ensure plant-level positions are closed within 30–45 days in coordination with the Corporate TA team.
- Corporate TA handles hiring for Manager-level and above.
- Source candidates using Naukri and other platforms.
- Coordinate with Corporate HR on MRF approvals.
- Prepare and process MRFs at the regional level.
- Manage end-to-end staffing including sourcing, interviews, testing, job offers, and induction (on-roll/off-roll).
2. Onboarding & Induction
- Manage onboarding through Zing HR with corporate TA and plant stakeholders.
- Prepare and manage induction schedules for new joiners.
- Coordinate plant visits for employees, group visitors, and external stakeholders.
- Share new joiner announcements at the plant level.
3. HR Generalist Responsibilities
- Maintain personal files and employee data in Zing HR.
- Handle issuance of ID cards, business cards, CUG SIM, mail ID, SAP ID, and laptop (if required).
- Manage biometric attendance and leave for on-roll employees via Zing HR.
- Ensure 100% biometric attendance for off-roll employees.
- Validate monthly pay sheets (input vs output in Zing HR).
- Manage manpower vendor processes including agreements, POs, invoices, statutory documents, GRN, and payments.
- Verify Zing HR new joiner inputs (manager mapping, card code, etc.).
- Update organization charts and related documents.
- Coordinate with corporate payroll team for attendance, payroll, and full & final settlements.
- Publish monthly top performer communication across plants.
- Conduct monthly R&R program with Plant Manager and Head HR BP – Industrial.
4. Reports & Trackers
- Weekly review of attendance using HRIS and biometric systems.
- Manage monthly payroll processing in HRIS.
- Send monthly additions/deletions to HO through the Talent Management tool.
- Manage Mediclaim addition/deletion tracker before the 7th of every month.
- Maintain employee reports and trackers.
- Handle grievance management and resolution.
5. Corporate HR Initiatives
- Coordinate training and development programs.
- Track Digital Learning Program progress.
- Support appraisal processes including mid-year reviews.
- Drive safety initiatives and ensure compliance with safety standards.
6. IR & Compliance Management
- Review labor and civil laws; ensure compliance in coordination with legal advisors.
- Advise management on statutory compliance related to PF, ESIC, PT, MLWF, Factory Act, Shops & Establishment Act, etc.
- Maintain strong relationships with government authorities such as the Chief Inspector of Factories, Labour Department, PF Office, and ESIC.
- File all statutory returns on time.
- Oversee employee welfare programs: canteen, uniforms, insurance, etc.
- Monitor compliance under EHS and HR policies.
- Ensure statutory compliance for Personnel & Administration functions.
7. Special Projects
- Conduct awareness programs on Mediclaim, ESI, Health & Safety, and other company policies.
- Support quarterly statutory compliance audits.
