Job Title: HR Executive
Location: Mumbai
Reporting To: HR Manager
Job Summary
The HR Executive is responsible for managing end-to-end recruitment for shore-based positions, HR operations, employee lifecycle management, and administrative functions. The role ensures timely hiring of qualified professionals, compliance with company policies, smooth HR processes, and efficient office administration to support business operations.
Key Responsibilities
1. Recruitment (Shore-Based Hiring)
- Manage end-to-end recruitment for shore-based positions across departments such as Technical, Marine, Operations, Commercial, Finance, Procurement, Chartering, Legal, HSQE, and Administration.
- Coordinate with department heads to understand manpower requirements and prepare job descriptions.
- Source candidates through job portals, LinkedIn, employee referrals, recruitment agencies, and professional networks.
- Screen resumes, conduct initial interviews, and shortlist candidates based on job requirements.
- Schedule and coordinate interviews with hiring managers.
- Conduct reference checks and verify candidate credentials.
- Negotiate salary offers within approved budgets.
- Prepare and issue offer letters, appointment letters, and onboarding documentation.
- Coordinate joining formalities and induction for new employees.
- Maintain recruitment trackers, candidate databases, and hiring reports.
- Ensure recruitment targets and timelines are achieved.
2. HR Operations
- Manage employee onboarding and exit processes.
- Maintain employee personnel files and HR documentation.
- Prepare employment contracts, confirmation letters, transfer letters, promotion letters, and experience certificates.
- Maintain employee records in the HRMS.
- Coordinate probation reviews and employee confirmations.
- Handle attendance, leave records, and employee data updates.
- Support payroll by providing attendance and employee information.
- Ensure compliance with labour laws and company HR policies.
- Assist in implementing HR policies, SOPs, and employee engagement initiatives.
- Handle employee queries related to HR policies and benefits.
- Generate monthly HR reports and MIS.
3. Administration
- Manage office administration and daily operational requirements.
- Coordinate travel arrangements, hotel bookings, and transportation for employees and visitors.
- Maintain office assets, stationery, and vendor management.
- Coordinate housekeeping, security, and facility maintenance.
- Handle office contracts, AMC renewals, and service providers.
- Support company events, meetings, and employee engagement activities.
- Ensure compliance with health, safety, and office regulations.
- Maintain office records and administrative documentation.
Preferred Experience
- 3–6 years of HR experience in the shipping or maritime industry.
- Hands-on experience in recruitment for shore-based positions within a ship owning or ship management company.
- Experience hiring professionals for Technical, Marine, Commercial, Operations, Finance, Procurement, HSQE, and Corporate functions.
- Knowledge of HR operations, employee lifecycle management, and labour law compliance.
- Experience working with HRMS and Applicant Tracking Systems (ATS).
Required Skills

- Knowledge of HR operations and employment documentation.

Educational Qualification
- Any Graduate or
- Bachelor's degree in Human Resources, Business Administration, or a related field.
