HR EXECUTIVE – JOB ROLE
Role Philosophy
At CCAW, HR is not limited to administrative and compliance functions. The role is designed to actively contribute to building a structured, emotionally safe, and high-functioning work environment.
The HR Executive will ensure:
● Operational efficiency across teams
● Consistency in processes and communication
● Employee well-being and retention
● A culture of accountability, growth, and psychological safety
This role requires a balance of structure, empathy, and proactive problem-solving.
Core Role Objectives
● Strengthen internal systems and reduce operational gaps
● Improve employee engagement and retention
● Ensure clarity in roles, expectations, and performance
● Build structured training and development systems
● Maintain compliance and documentation rigor
● Act as a neutral and reliable point of contact for employees
Key Responsibility Areas
A. Employee Engagement & 1:1s
● Conduct structured monthly/ bi-monthly 1:1s with employees
● Identify concerns related to:
○ Workload
○ Team dynamics
○ Role clarity
● Maintain confidential records and track patterns
● Escalate critical concerns to management with solutions
B. Performance Management Systems
● Design and implement KRA & KPI systems for:
○ Admin staff
○ Support staff
● Ensure clarity of expectations and measurable outputs
C. Attendance, Leave & Payroll Coordination
● Maintain accurate attendance and leave records
● Track employee- wise data for salary processing
● Coordinate with Finance for timely and error-free payroll inputs
D. Recruitment & Hiring
● Do hiring for various openings by:
○ Understanding role requirements
○ Create clear and practical job descriptions
● Schedule and coordinate interviews
● Ensure smooth candidate communication
E. Onboarding & Induction
● Design and deliver a structured induction program
● Ensure new hires understand:
○ Roles & responsibilities
○ Internal systems
○ Reporting structures
○ Organizational expectations
● Create a smooth onboarding experience to reduce early attrition
F. Training & Development
● Identify training needs across teams
● Design and execute training modules for:
○ Admin staff
○ Support staff
● Coordinate with department heads for role-specific training
● Track training effectiveness
G. Policy & Compliance Management
● Review and update policies regularly:
○ HR policies
○ Code of conduct
○ Leave policies
○ Exit policies
● Ensure adherence to legal and regulatory requirements
● Maintain proper documentation and compliance records
H. Offboarding & Exit Management
● Manage structured offboarding processes
● Conduct exit interviews to identify:
○ Reasons for leaving
○ Organizational gaps
I. Culture & Work Environment
● Build a positive, respectful, and structured work culture
● Introduce small but consistent initiatives:
○ Recognition practices
○ Team engagement activities
● Promote open communication and reduce workplace friction
J. Systems & Process Management
● Improve internal systems such as:
○ Data tracking (Google Sheets, documentation)
○ Communication logs
○ Task ownership clarity
● Ensure information is updated, organized, and accessible
● Reduce dependency on verbal communication by encouraging documentation
K. Monitoring & Management of Admin & Support Staff
● Closely monitor:
○ Attendance and punctuality
○ Task completion
○ Professional behavior
○ Communication standards
● Ensure:
○ Instructions are followed correctly
○ Work is documented and updated regularly
● Address gaps through:
○ Immediate feedback
○ Structured training
○ Clear accountability

M. Ideal Candidate Profile
● Master’s degree in HR/Management or related field
● Minimum 3 years of relevant experience
● Experience in structured HR systems and processes
● Comfortable working in a dynamic, evolving setup
