ABOUT THE ROLE
We are looking for a detail-oriented and curious HR professional to join our Gurugram team in a US shift role. You will work directly under the HR Manager – Operations & Compensation and own end-to-end documentation, background verification, and compliance tracking for our US and Canada operations. Beyond execution, we want someone who actively keeps up with regulatory changes across North American employment law and federal requirements — someone who treats research as part of the job, not an afterthought.
Work Hours: Approximately 6:30 PM – 3:30 AM IST (aligned to US business hours), Monday to Friday. This is a full-time on-site role at our Gurugram office. Candidates comfortable working in a night-shift environment are strongly preferred.
WHAT YOU WILL OWN
- HR Documentation: Manage, draft, and version-control all HR documentation including offer letters, employment agreements, policy documents, onboarding kits, and compliance checklists for US and Canada hires — ensuring everything stays current with applicable regulations.
- Background Checks (BGC): Own the background check process end-to-end: initiate BGC requests, coordinate with vendors, track turnaround times, flag discrepancies, and maintain clean records in the HRIS.
- US & Canada Compliance Research: Proactively track changes to US federal and state employment laws, Canadian federal and provincial regulations, and HR compliance requirements. Summarize key updates into actionable briefs for the HR Manager.
- HR Data Management: Build and maintain tracking sheets, compliance calendars, headcount trackers, and reporting dashboards in Excel. Own data accuracy and ensure records are audit-ready at all times.
- AI-Assisted Research & Documentation: Use AI tools (Claude, ChatGPT, or similar) to accelerate compliance research, generate first drafts of HR documents and policy summaries, and stay ahead of regulatory changes efficiently.
- Cross-Geography Communication: Coordinate with employees, managers, and vendors in the US and Canada over email and Slack. Represent HR professionally in all written communication. Maintain responsiveness during US business hours.
- Compliance Tracking & Audit Readiness: Maintain statutory compliance calendars for US and Canada (I-9, state-level requirements, payroll tax filing coordination, benefits compliance). Flag upcoming deadlines proactively.
WHAT WE ARE LOOKING FOR
- Research & Regulatory Curiosity: Genuinely enjoys staying current with employment law and can synthesize complex regulatory content into clear summaries without being asked.
- Excel Proficiency: Comfortable with VLOOKUP, pivot tables, conditional formatting, and building clean trackers from scratch. Data should tell a story, not just fill a sheet.
- Written Communication: Strong command of professional English. Able to draft crisp, clear emails and documents for a US/Canada audience without heavy editing.
- AI Tool Fluency: Comfortable using AI tools for research, summarization, and first-draft creation. Understands how to prompt effectively and validate AI outputs.
- Attention to Detail: Compliance work has zero room for error. Strong ownership over document accuracy and process hygiene is non-negotiable.
- Background & Experience: 0-2 years in HR operations, compliance, or documentation roles. Exposure to US or Canada HR practices is a strong plus. MBA or PG Diploma in HR preferred.
