Purpose of Role:
HR Assistant role is to provide administrative and operational support to the Human Resources function, ensuring the accurate and timely execution of HR processes. The role helps maintain employee records, supports payroll and employee lifecycle activities, coordinates HR documentation, and assists in delivering efficient HR services while ensuring compliance with company policies and statutory requirements.
Accountability & Responsibilities of Role:
- Maintain accurate employee records in the HR system (D365/HRONE).
- Support employee onboarding, transfers, and offboarding processes.
- Prepare HR letters, contracts, NOCs, and other employee documentation.
- Validate attendance, leave, and payroll inputs before submission.
- Maintain employee files and ensure all documentation is complete and compliant.
- Process leave requests and update leave records in the HR system.
- Support final settlement (FFS) and employee exit documentation.
- Coordinate with Finance, Payroll, and Business Units on HR operational matters.
- Respond to employee queries and provide day-to-day HR support.
- Prepare HR reports, trackers, and MIS reports as required.
- Support HR audits by maintaining accurate records and documentation.
- Ensure compliance with company policies, labor laws, and HR procedures.
- Follow up on pending approvals and HR actions to ensure completion of time.
- Assist in implementing HR process improvements and maintaining SOPs.
- Maintain confidentiality of employee information and HR records.
- Support HR projects and other administrative activities as assigned.
Key Performance Indicators:
- Employee Lifecycle Management – Ensure timely and accurate completion of onboarding, transfers, offboarding, and final settlement processes.
- HR Data Accuracy & System Management – Maintain accurate employee records and timely updates in HR systems (D365/HRMS).
- HR Service Delivery – Provide timely support to employees and stakeholders by responding to queries and completing HR requests within agreed timelines.
- Compliance & Documentation – Ensure employee files, HR documents, and records are complete, accurate, and compliant with company policies and regulations.
- Process Efficiency & Reporting – Support HR reporting, tracking, and process improvement initiatives to enhance operational effectiveness.
Position Requirements:
- Experience: Minimum of 2-3 years of experience in payroll processing and excellent Excel Skills.
- Qualifications: Bachelor’s degree in human resources, Business Administration, or a related field.
- Skills:
- Excellent English communication skills, both written and verbal, to effectively engage candidates and stakeholders.
