About The Role
We are seeking an experienced and professional HR & Admin Officer to join our dynamic team in our Mumbai office. The ideal candidate will be highly organized, proactive, and possess excellent communication skills, with a strong ability to work collaboratively across teams. This role requires a positive attitude, flexibility, and sound judgment to effectively support the company's HR and administrative functions. The HR & Admin Officer will serve as a key point of contact for employees, liaising with our global offices, and ensuring smooth office operations. Qualifications
The ideal candidate should hold a Bachelor's Degree in Human Resource Management, Public Administration, Business Administration, or an equivalent qualification from a recognized university or institution. Previous experience in executive administration is advantageous. Candidates must demonstrate excellent verbal and written communication skills, proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint), and a minimum of 4-6 years of experience in HR and administrative roles. Training in employment law, employee relations, organizational planning, safety, and labor laws is essential. Experience working in similar organizations or institutions will be considered an added advantage. The candidate must possess strong analytical skills, the ability to interpret labor laws, and demonstrate high integrity and discretion when handling confidential information. Flexibility to work in a hybrid model, including occasional early or late hours, is required.
Responsibilities
Office Administration: The HR & Admin Officer will coordinate the development and implementation of HR policies, ensuring compliance with relevant laws and fostering positive employee relations. Responsibilities include communicating policies and procedures to management and staff, maintaining employee databases, and preparing reports to support HR functions. The role involves managing conference room calendars, monitoring visitor access, and overseeing meeting setups, including catering and technical arrangements. The officer will handle incoming and outgoing mail and packages, coordinate courier services, and manage office supplies to ensure smooth daily operations. Additionally, the role includes preparing and processing travel and expense reports, assisting with office signage, and supporting onboarding processes for new hires.
Additional Duties: The candidate will coordinate restaurant reservations, document and communicate team actions and issues, and perform clerical tasks such as filing, photocopying, and ordering supplies. Liaising with facility management vendors—including cleaning, catering, and security—is essential. The role also involves addressing employee queries related to office management, coordinating with the IT department on office equipment, organizing office layout and stationery, and managing the office administration budget with accurate reporting. The HR & Admin Officer will also support ad hoc office needs and assist in maintaining a productive and organized work environment.
