Position Overview
The HRMS Specialist is responsible for the end-to-end administration of the Human Resource Management System (HRMS) and supporting HR, payroll, and finance operations for the firm's Australian workforce. This is a hands-on role requiring the ability to independently own HRMS administration, ensure payroll accuracy and statutory compliance under Australian regulations, and provide reliable finance support across day-to-day operations.
Responsibilities and duties
HRMS Administration
- Own and administer the Human Resource Management System (e.g. Employment Hero, KeyPay, Xero Payroll, ELMO, or equivalent) for all Australian employees.
- Maintain accurate employee master data including personal details, contracts, positions, pay rates, banking, superannuation, and tax declarations.
- Configure and maintain workflows, leave types, approval hierarchies, pay categories, and award interpretations within the HRMS.
- Manage user access, roles, and permissions in line with privacy and security requirements.
- Generate workforce reports and dashboards covering headcount, turnover, leave liability, and compliance.
- Troubleshoot HRMS issues and liaise with vendors for resolution and system enhancements.
Employee Lifecycle and HR Administration (Australia)
- Coordinate end-to-end onboarding and offboarding for Australian employees, including contracts, induction, system access, and final settlements.
- Process role changes, promotions, transfers, parental leave, and terminations.
- Administer leave entitlements (annual, personal/carer's, parental, long service) in line with the National Employment Standards and applicable Modern Awards.
- Maintain employee files in compliance with the Privacy Act 1988 and Australian Privacy Principles.
- Respond to employee queries on HRMS, payroll, leave, superannuation, and benefits within agreed service levels.
- Maintain HR policies, procedures, and the employee handbook to reflect current Australian legislation.
Payroll Processing and Compliance
- Process end-to-end fortnightly or monthly payroll for Australian employees, including PAYG withholding, Superannuation Guarantee, and payroll tax.
- Lodge Single Touch Payroll (STP) reports to the ATO and reconcile each pay run.
- Calculate and process terminations, redundancies, and long service leave entitlements where applicable.
- Issue payslips, payment summaries and income statements, and resolve payroll discrepancies.
- Ensure compliance with the Fair Work Act 2009, Modern Awards, and the Superannuation Guarantee (Administration) Act.
Finance Support
- Process payroll journals, accruals, and reconciliations into the accounting system (Xero or MYOB).
- Support accounts payable and receivable, including invoice processing, supplier payments, and debtor follow-up.
- Assist with bank reconciliations, credit card reconciliations, and expense claim processing.
- Support BAS, IAS, FBT, and superannuation reporting and lodgment.
- Provide supporting documentation for month-end close, audits, and statutory reporting.
- Liaise with external accountants, the ATO, super funds, and Fair Work as required.
Compliance and Confidentiality
- Handle all organizational and employee information with the highest level of confidentiality and discretion.
- Ensure HR and payroll practices comply with Australian data protection and privacy regulations.
- Comply with all applicable internal policies, procedures, and regulatory requirements.
- Operate in accordance with the firm's quality controls and reporting standards.
Documentation and Process Improvement
- Maintain comprehensive documentation of HRMS configurations, payroll procedures, and finance processes.
- Identify inefficiencies in existing HR, payroll, and finance workflows and implement improvements.
- Develop onboarding, offboarding, and payroll cut-off checklists and ensure consistent execution.

Qualifications and experience
- Minimum 2 years of experience in HR administration, payroll, or HRMS roles.
- Strong working knowledge of Australian payroll legislation including PAYG, Superannuation Guarantee, payroll tax, Single Touch Payroll, and award interpretation.
- Hands-on experience administering at least one HRMS/payroll platform (Employment Hero, KeyPay, Xero Payroll, ELMO, MYOB, or equivalent).
- Solid understanding of the Fair Work Act 2009, Modern Awards, and the National Employment Standards.
- Demonstrated experience supporting finance operations in Xero or MYOB, including AP, AR, reconciliations, and BAS support.
- Proven ability to maintain confidentiality and handle sensitive employee and financial data with integrity.
- Strong troubleshooting and problem-solving skills with the ability to work independently.
- Excellent communication skills in English, with the ability to coordinate with teams across time zones, particularly Australian business hours.
