Purpose of the Role
The HR Operations & Administration Manager will serve as the operational backbone of Skinska's Hyderabad headquarters, ensuring seamless people management, efficient office administration, and flawless field-force support. The incumbent will act as a central liaison across all internal departments — from finance and accounts to the field sales team — as well as with external stakeholders including vendors, stockists, and chemist partners. This role demands a highly organized, proactive professional who thrives in a fast-paced pharmaceutical environment and who genuinely understands the rhythm of a field-based sales organization.
Key Responsibilities & Accountabilities
1. HR Operations & People Management
- On-boarding – End-to-end new joiner process — offer letters, documentation, induction scheduling, system set-up, and role orientation
- Off-boarding – Structured exit management including clearance checklists, full-and-final settlement co-ordination, and exit interviews
- Attendance & Leave – Maintain accurate attendance records and leave management systems for office and field staff
- HR Compliance – Ensure all HR practices comply with applicable labour laws and company policies
- HR Records – Maintain up-to-date personnel files, contracts, and confidential employee documentation
2. Office Administration
- Day-to-Day Office Management – Oversee smooth functioning of the Hyderabad office including facilities, housekeeping, and asset management
- Procurement – Manage office supplies, stationary, and consumables; raise purchase orders and maintain cost control
- Travel & Logistics – Co-ordinate travel arrangements for management and field staff as required
- Administrative Systems – Maintain and improve filing systems, intranet, and office management tools using digital/AI-powered platforms
3. Field Staff Support & Medical Representative Management
- Field Team Liaison – Act as primary point of contact for Medical Representatives and Area Sales Managers across territories
- Requirements Fulfilment – Ensure timely supply of promotional materials, product samples, CRM tools, and field essentials to MRs
- Field Reporting – Collate and validate daily/weekly field reports; flag deviations and escalate as necessary
- Field HR Issues – Address field staff queries related to expenses, HR policies, and general administrative requirements promptly
4. Finance & Accounts Co-ordination
- Expense Management – Process employee expense claims, petty cash, and reimbursements in alignment with policy
- Invoice & Purchase Order Tracking – Co-ordinate with the Accounts team on vendor invoices, payment tracking, and reconciliations
- Budgeting Support – Assist the Finance team with HR and Admin budget tracking, variance reporting, and cost projections
5. Vendor & External Stakeholder Management
- Vendor On-boarding & Relations – Source, negotiate with, and manage relationships with approved office and service vendors
- SLA Monitoring – Track vendor deliverables against agreed service levels and escalate non-performance
- Contract Management – Maintain a register of vendor contracts, renewal dates, and associated documentation
6. Stockist & Chemist Co-ordination
- Supply Chain Liaison – Co-ordinate with the supply chain and logistics teams to ensure timely delivery of Skinska products to authorized stockist and chemists
- Order Tracking – Monitor outstanding orders, flag shortages, and resolve distribution discrepancies swiftly
- Relationship Management – Maintain constructive working relationships with key stockist and chemist partners to support commercial goals
7. Stakeholder Communication & Organizational Support
- Internal Communication – Ensure clear, consistent, and timely communication across all levels of the organization
- AGM Sales & Marketing Support – Provide structured administrative and co-ordination support to the AGM Sales & Marketing function
- Meeting Management – Organize internal meetings, prepare agendas, record minutes, and track action items to closure
- Company Philosophy – Internalize and actively champion Skinska's vision, brand values, and operating culture across the organization
8. Executive Reporting & Dashboard Management
- Executive Dashboard – Design, maintain, and circulate a weekly/monthly Executive Dashboard consolidating HR, field, admin, and operational KPIs for the Management team
- MIS Reports – Generate accurate management information reports on headcount, attrition, field activity, vendor spend, and stock status
- Data Integrity – Maintain data accuracy across all reporting tools and proactively highlight trends, risks, and opportunities
Person Specification
Essential
- Experience – Minimum 5 years of progressive HR and Administration experience within a Pharmaceutical or FMCG sales organization
- Field Force Knowledge – Demonstrable understanding of medical representative operations, field reporting structures, and pharma field-team management
- Communication Skills – Exceptional verbal and written communication skills in English and Telugu/Hindi; ability to communicate effectively across all organizational levels
- Organizational Skills – Strong multi-tasking ability with attention to detail, deadline adherence, and sound judgement under pressure
- Technology Proficiency – Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and hands-on experience with digital administration and HRMS platforms
- AI Literacy – Practical AI prompting and automation skills to improve administrative productivity and reporting efficiency
- Integrity & Discretion – High ethical standards with the ability to manage sensitive and confidential information professionally
Desirable (Not Mandatory)
- Academic Qualification – Bachelor's Degree or Post-Graduate Diploma in Human Resources, Business Administration, or a related discipline
- Pharma Sector Exposure – Prior exposure to pharmaceutical sales environments, product launches, and Stockist/distribution management
- Team Management – Proven experience in directly managing an administrative or support team
- ERP / CRM Systems – Familiarity with ERP platforms, or softwares like Profit Maker, CBO Tools
- Language Skills – Additional proficiency in regional languages spoken in key Skinska markets is advantageous
