JOB SUMMARY
Human Resources & Administrative Assistant is responsible for maintaining efficient office operations, supporting HR processes, and ensuring a smooth and professional employee experience from onboarding through day-to-day engagement till employee offboarding.
The ideal candidate is proactive, detail-oriented, well-organized, possesses good exposure to latest technologies (AI), advanced MS Office user and good communication skills to collaborate effectively across departments.
KEY RESPONSIBILITIES
HR Responsibilities
• Coordinate and conduct new employee onboarding and orientation programs, ensuring a seamless integration into the organization.
• Maintain and regularly update HR databases, employee master data, and personnel records to ensure accuracy and compliance.
• Support the end-to-end recruitment process, including scheduling interviews, coordinating assessments, and facilitating pre-employment background and reference checks.
• Collect and process time and attendance records to support accurate and timely payroll preparation.
• Assist in the administration of employee benefits, leave management, and HR policy documentation.
• Support employee engagement initiatives, including surveys, recognition programs, and internal communication campaigns.
• Maintain confidentiality of all employee information and HR records in accordance with data privacy and compliance requirements.
• Assist in drafting, formatting, and circulating HR documents, letters, contracts, and policy updates.
• Support performance management cycles, including coordinating appraisal schedules and maintaining related documentation.
• Ensure compliance with applicable labour laws, PF, ESI, internal HR policies, and regulatory requirements.
Administrative Responsibilities
• Organize, schedule, and coordinate meetings, appointments, and conferences; prepare agendas and record minutes where required.
• Manage and maintain an organized physical and digital filing system for all departments records.
• Handle all inbound and outbound communications, including phone calls, emails, and correspondence, ensuring timely and professional responses.
• Oversee office supply inventory — monitor stock levels, raise purchase requisitions, and coordinate with vendors for timely replenishment.
• Coordinate travel arrangements, hotel bookings, and itineraries for staff and management as required.
• Submit and reconcile employee expense reports in accordance with company finance policies.
• Maintain and update contact directories and stakeholder lists.
• Greet and assist visitors, clients, and external stakeholders in a courteous and professional manner.
• Support the upkeep of a clean, organized, and productive work environment.
• Assist in vendor coordination for office services, maintenance, and facility management needs.
Additional Responsibilities
• Assist in the preparation of reports, presentations, and data summaries for management review.
• Assist in implementing company policies, procedures, and compliance requirements.
• Participate in and contribute to HR and administrative projects or initiatives as assigned.
• Provide ad hoc support to other departments to facilitate cross-functional collaboration.
REQUIRED SKILLS
• Strong organizational skills with the ability to manage multiple tasks and deadlines simultaneously.
• Excellent verbal and written communication skills in English; additional language proficiency is an advantage.
• High level of discretion, confidentiality, and integrity when handling sensitive information.
• Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook); familiarity with HRIS or HR software is a plus.
• Strong attention to detail and accuracy in data entry, documentation, and reporting.
• Proactive problem-solving mindset with the ability to work independently and as part of a team.
• Professional interpersonal and stakeholder management skills.
• Adaptability and willingness to learn in a dynamic, fast-paced work environment.
IDEAL QUALIFICATION & EXPERIENCE
• Bachelor's Degree from any discipline.
• 0.5–1.5 years of relevant experience in an HR, administrative, or office support role; freshers with strong internship experience are also encouraged to apply.
• Knowledge of basic HR and office administration and management is advantageous.
• No Prior Knowledge of Mechanical Engineering is required.
