Operations Manager
Description

The Operations Manager works in close partnership with the General Manager, Leasing Team, and the Social Programs Director to maintain a safe, high-functioning, and elegant community. This position also serves as the primary liaison for the residents and their families, proactively addressing needs and ensuring residents and guests are satisfied at The Merion. The Operations Manager is expected to maintain direct, hands-on involvement with all critical property systems, including fire alarm systems, surveillance, electronic door access, elevators, climate control equipment, the fitness center, pool, and all common areas. 

Requirements

  

· Acts as the dedicated point of contact for residents and families, anticipating needs and delivering premier service experience for all residents and guests via phone, email, or in-person.

· Creates and distributes professional correspondence to the community and utilizes our Mass Communication Systems to deliver important updates.

· Maintains direct oversight of the building’s essential technology and mechanical systems including fire alarm systems, security cameras, electric door access, elevators, and HVAC equipment, fitness equipment and pool etc. 

· Monitor and maintain supply inventory for the community (office, front desk, housekeeping, maintenance, and other supplies as needed). 

· Research hard-to-find supply items using multiple sources and exercise fiscal responsibility when ordering supplies.

· Enter charges and/or credits for parking, storage, valet, etc. to Yardi, research discrepancies, and make any corrections on resident ledgers.

· Print and distribute monthly resident rent statements, review with residents if requested, and address questions or concerns. 

· Run various Yardi reports: Rent Roll, Resident Activity Detail, Receivable by Detail, etc. to complete various assignments and adjust lease charges as needed.

· Assist residents with proof of renter’s insurance with Foxen Liability Program, answer questions and follow up with non-complaint residents.

· Assign resident storage lockers and collect revenues

· Create and maintain spreadsheets and perform data entry for resident telephone lists, housekeeping schedule, locker assignment lists, schedules for various projects.

· Update and maintain resident phone logs and coordinate accurate data with Redwood Phone Services. Update and maintain the Mitel phone directory

· Monitor the SARA pullcord and pendant system, issue new and replacement pendants, and change batteries as needed, and conduct pullcord testing biannually

· Move-in responsibilities; issuing keys, parking passes, laundry cards etc. 

· Move-out responsibilities; walk units, assess damages, etc.

· Participate in monthly New Move in Orientation in coordination with the leadership team.

II SECONDARY RESPONSIBILITIES:

· Input and oversee execution and performance of work orders.

· Direction of maintenance, housekeeping and door staff.

· Perform walks of the community to insure housekeeping and maintenance upkeep.

· Assist with lease renewal process, resident retention matters, and resident onboarding.

· Communicate resident retention concerns to leasing team.

· Coordinate with commercial customers for access to the building.

· Participate in weekly team meetings and conference calls.

· Oversee semi-annual projects within the exterior/interior of building (i.e. window washing, carpet cleaning, window replacement, etc.) 

· Perform other tasks as reasonably requested by the General Manager to support the overall mission and daily functioning of Merion Operations.
