About the role
We are looking for a detail-oriented HOA Utility Manager to oversee all utility operations for our homeowner association portfolio. You will manage end-to-end utility billing, payments, and reconciliation using AppFolio, and serve as the primary point of contact for utility vendor relationships and HOA compliance.
Key responsibilities
- Process and track utility payments for all HOA-managed properties within AppFolio
- Perform monthly utility reconciliation — matching invoices, ledger entries, and bank records
- Set up utility accounts and services for new HOA communities and units
- Coordinate with utility providers (water, electric, gas, waste) for account changes, disputes, and credits
- Monitor utility budgets and flag variances to HOA boards and management
- Ensure timely payment of utility invoices to avoid late fees or service interruptions
- Maintain accurate utility charge schedules and unit allocations in AppFolio
- Assist in onboarding new HOA clients — including utility account transfers and setup
- Generate utility spend reports for board meetings and annual budgets
- Identify billing errors, duplicates, or anomalies and initiate correction
What we're looking for
- Experience in HOA or property management (3+ years preferred)
- Hands-on proficiency with AppFolio — billing, GL, and vendor management
- Strong reconciliation and bookkeeping skills
- Ability to manage multiple HOA accounts simultaneously
- Excellent attention to detail and follow-through
- Clear communication with vendors, boards, and homeowners
